Join our team as a Trainee Executive Assistant in the X office! An exciting opportunity to join our Mills & Reeve Executive Support Services team. We are looking for a proactive and organised Trainee Executive Assistant to develop the skills needed to provide support to our lawyers and business professionals. You'll work closely with experienced Executive Assistants, Team Leaders, and Regional Executive Services Managers, learning the skills of an EA.
The activities will include a variety of business development, client service, diary management, finance, billing, and workflow management tasks:
- Support a small amount of lawyers and/or business support;
- Attend team and project meetings and assist with meeting arrangements or internal events and expense claims;
- Engage in networking to build relationships and raise your profile, including use of LinkedIn and other platforms;
- Assist with client updates and newsletters, including managing mailing lists;
- Deliver outstanding client service, proactively progress tasks, and ensure compliance processes are followed;
- Assist with finance and billing, including preparing invoices and financial housekeeping;
- Prioritise tasks, manage emails and inboxes, meet deadlines, and provide regular updates;
- Communicate effectively with lawyers and support teams to meet required deadlines.
What We're Looking For:
- Experience in an Administrative Assistant or professional office environment;
- A natural organiser, confident in multi-tasking and working with a variety of people;
- Ability to build sustainable relationships with colleagues and clients;
- Good written, verbal and delegation skills;
- Good attention to detail and a willingness to learn, take on new responsibilities, and develop resilience;
- Proactive, methodical, and able to manage a small workload while developing prioritisation skills.
