We are seeking a highly organised, proactive and detail-oriented Team Executive Assistant to support a fast-paced team. This role is ideal for a polished professional with 3+ years of experience supporting a team, preferably within financial services. The successful candidate will be a strong multitasker, exercise sound judgment, and operate with a high degree of discretion and professionalism. This is a 5 days in office role.
Responsibilities
- Provide day-to-day administrative support to a team of investment professionals (7 full support / 5 ad hoc support)
- Manage complex calendars and meeting scheduling across multiple time zones
- Coordinate domestic and international travel, including itineraries, logistics, and expense processing
- Track action items, monitor deadlines, and help keep the team organised and on schedule
- Support team and external events
- Handle ad hoc projects and administrative tasks in a timely and accurate manner
Qualifications
- 3+ years of experience as an Executive Assistant, Team Assistant, or similar administrative role supporting multiple senior professionals
- Prior experience in financial services or another high-performance, deadline-driven environment preferred
- Excellent organisational, time management, and prioritisation skills
- Strong written and verbal communication skills
- High level of professionalism, discretion, and confidentiality
- Proficiency in Microsoft Office, particularly Outlook
- Ability to remain calm under pressure and adapt quickly to changing priorities
- Strong attention to detail and a hands-on, no-task-too-small mindset
