Milestone LLC is seeking a highly organized and proactive Office Manager to oversee and coordinate the daily administrative operations of our office. The Office Manager will be responsible for managing office resources, supervising administrative staff, and ensuring the smooth running of office functions to support our clinical and operational teams. This role requires a hands-on leader who can handle multiple tasks efficiently while maintaining a positive work environment.

Key duties include:

  • Supporting billing and invoicing processes
  • Collaborating with management to implement policies and procedures

The ideal candidate will have strong communication skills, financial acumen, and experience in office administration within a mental health or healthcare setting.

Responsibilities:

  • Prior experience as an office manager or in a similar administrative leadership role
  • Strong organizational and multitasking skills with attention to detail
  • Excellent interpersonal and communication skills for interacting with staff, clients, and external partners
  • Proficiency in office software including Microsoft Office Suite
  • Experience with financial management tasks such as budgeting, billing, and payroll
  • Ability to develop and enforce office policies and procedures

  • Capable of managing billing claims submission and month-end financial processes
  • Collaborate with program managers and owners on auditing and reporting activities
  • Submit weekly billing claims to DMAS and monitor unbilled or cleared claims
  • Manage the bi-weekly payroll submission accurately and timely
