We are delighted to offer an exciting opportunity for a motivated and enthusiastic Receptionist / Administrator to join our friendly and supportive team at Milehouse Medical Practice. Milehouse Medical Practice is a small, family-focused GP surgery providing high-quality care to approximately 3,600 patients. Our dedicated multidisciplinary team includes GPs, a pharmacist, practice nurse, healthcare assistant, and an experienced reception and administration team.
This is a varied and rewarding role at the heart of the practice, where you will play a key part in delivering excellent patient care and ensuring the smooth day-to-day running of the surgery. The successful candidate will be welcoming, organised, adaptable, and able to work effectively in a busy environment. Applicants with previous GP practice experience and knowledge of EMIS are desirable; however, we also welcome applications from candidates with strong reception, administration, or customer service experience from other sectors. Training will be provided where required, including support with systems such as Docman Workflow. The position is currently part-time, with the opportunity to progress to full-time hours for the right candidate.

Job Responsibilities:
- Welcome, assist, and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient, and effective manner.
- Provide assistance to the practice team and maintain a positive and friendly image to patients and visitors through a variety of communication methods.
- Undertake a range of administrative duties to support the smooth running of the practice.
- Provide administrative support to clinical staff and other members of the practice team.
- Facilitate effective communication between patients, primary healthcare staff, secondary care, and associated healthcare agencies.
- Be flexible in providing holiday and sickness cover when required.
- Ensure compliance with all practice protocols and procedures.
- Manage appointments, including urgent requests and follow-up bookings.
- Monitor the practice appointment system and resolve issues as required.
- Action computerised practice tasks.
- Respond to patient enquiries and requests for assistance.
- Advise patients regarding private service charges and process payments.
- Register new patients and temporary residents.
- Receive and make telephone calls, transfer calls, and take accurate messages.
- Open and secure clinical rooms as required.
- Process repeat prescriptions in line with practice guidelines.
- Enter and update patient information on the clinical system.
- Sort and summarise medical records.
- Liaise with patients, healthcare professionals, and associated agencies.
- Use Docman and Docman Workflow to manage correspondence, reports, and results (training provided).
- Maintain a tidy, organised, and welcoming reception area.
Person Specification:
Experience working within a GP practice and familiarity with EMIS is desirable; candidates with relevant experience from other settings will also be considered.
