The role is part of the Facilities team, where the Facilities Officer supports the Facilities Manager in providing effective and efficient facilities support to Migrant Help and Clear Voice. This includes assisting with compliance to current legislation and guidance related to premises management and health and safety provisions.

Role responsibilities:

  • Support the Facilities Manager with management of offices and premises, ensuring compliance with Health and Safety regulations and best practice standards.
  • Procure fixtures and fittings for offices/premises as required and maintain the Migrant Help asset register.
  • Support the provision of utilities contracts in line with the Environmental Management policy, aiming to reduce energy usage and waste costs.
  • Maintain records of energy usage and waste costs in line with targeted reductions in carbon emissions.
  • Maintain a record of health and safety risk assessments and advise relevant managers on reviews and updates.
  • Keep records of statutory compliance checks, such as PA Testing and annual inspections of fire equipment.
  • Build and maintain professional relationships with external partners, landlords, and Migrant Help managers to ensure compliance.
  • Support managers in DSE self-assessments and follow-ups as necessary.
  • Conduct audits and Facilities checks to ensure compliance with ISO45001, ISO9001, and ISO27001 accreditations.
  • Maintain records of accidents and near misses, working with involved parties to prevent recurrence.
  • Engage in dialogue to ensure projects are completed according to specifications and onsite H&S requirements.

The experience and skills you need:

  • Demonstrable experience advising Managers on Facilities and Health & Safety matters.
  • Excellent problem-solving, organisation, and administrative skills.
  • Ability to communicate effectively both in writing and verbally.
  • Capability to produce engaging documents and reports, communicating complex information clearly.
