We are seeking an experienced and highly organised Team Administrator for the NHS Staffordshire and Stoke on Trent Talking Therapies Service. This is a part time role (30 hours per week - working Monday, Tuesday, Thursday and Friday). The successful candidate will need to be a car driver and will be required to work at both our Tamworth and Burton sites.

Candidates should be skilled and experienced in administration and demonstrate keen self‑management skills to enable them to provide a high‑quality effective and efficient service. The Staffordshire and Stoke on Trent Talking Therapies Service is a creative organisation which embraces staff ideas to constantly seek ways of taking the service forward to adapt to changing expectations. We have strong links with academic institutions with staff from the service teaching university courses devised in conjunction with MPFT. Our staff lead professional development sessions locally and nationally and you will be actively encouraged to develop your practice through internal and external CPD opportunities.

Main duties of the job include:

  • Conducting a varied range of administrative duties and acting as a focal point for communication with patients.
  • Excellent interpersonal and communication skills (both written and verbal) are essential.
  • Ability to organise and prioritise workload and react quickly to changing situations.
  • Strong IT skills, including experience of using databases and Microsoft Outlook, Excel, and Word.
  • Providing high quality and effective administrative support alongside team members.
  • Working with high levels of autonomy in a high volume, time‑limited therapeutic setting.

The successful candidate should be prepared to work flexibly to meet service needs within core hours of 9-5, with therapy opportunities for clients between 8am-8pm and potentially on Saturday mornings.

Key Responsibilities include:

  • Being the first point of telephone contact for service users, carers, and GPs, identifying urgent calls and prioritising responses.
  • Dealing with enquiries which may be of a distressing nature and require sensitive handling.
  • Organising own workload using independent judgement to prioritise tasks and duties.
  • Providing confidential secretarial and organisational support to all staff.
  • Maintaining outlook calendars and using a range of office machinery.
  • Carrying out general office duties including photocopying and ordering stationery.
  • Supporting the team/manager in organising the administrative function of the team.
  • Processing referrals to the team and updating patient files as required.
  • Taking minutes of meetings, transcribing minutes, and distributing to team members.
  • Undertaking other duties as may be required.
