Overview

To assist in providing a comprehensive and professional secretarial service to clinical staff in the Trust, in conjunction with other secretaries working within the Team. The role will include audio typing, and liaising as necessary with other staff in the Team.

Under current Home Office Immigration Rules, this role does not meet the UK Visas and Immigration criteria and the position is not therefore eligible for sponsorship. Applications from candidates that require skilled worker sponsorship will NOT be shortlisted.

Main duties of the job

  • Typing of clinic letters to patients and other healthcare professionals with accuracy and attention to detail. Processing these letters to the patients and healthcare professionals. Checking outcomes of the clinic attendance. Answering phone. Scanning into patients EPR record.

Detailed Job Description And Main Responsibilities

To type clinic notes, operation notes, pre operative notes, ward notes, specialist reports, discharge summaries, conference notes and correspondence of varied medical terminology, accurately through audio typing distributing as necessary to the relevant healthcare professions. This work involves a significant use of word processing and the Trust’s computer systems, SF4, PAS, EPR and Word Microsoft Office and digital dictation system.

Process incoming mail and distribute as necessary on a daily basis.

To scan documents into the correct section of the patient’s EPR record, performing a quality assurance check for each scanned document.

To regularly check Big Hand for urgent dictation. Also checking for missing dictations and alerting the Medical Secretary.

Ensure all clinical letters are completed and dispatched, where possible, within the 10 day standard as directed by the Trust liaising with medical staff to encourage dictation and signing of letters in a timely fashion.

Complete Inter Provider Transfer forms accurately to effectively coordinate patient’s pathway with other hospitals.

Requesting external case notes and x-rays via IEP.

The use of photocopying handling skills and fax machine skills to reproduce or fax documents as required.

Ensure that all entries and information on the hospital computer systems such as PAS and EPR are accurate and complete.

To liaise with the Medical Secretary and when directed to answer incoming telephone calls as well as carrying out external telephone calls.

The ability to deal with frequent interruptions whilst maintaining levels of concentration.
