About the role

We are looking for a dynamic, enthusiastic and highly organised Medical Secretary to join our busy secretarial team.

This is an important patient-facing role supporting consultants and patients throughout the private healthcare journey, from clinic attendance and correspondence through to investigations, referrals, procedures and follow-up care.

Our consultants now use AI-assisted clinical dictation, so this is not a traditional audio-typing post.

The role focuses on checking and formatting clinical letters, accurately capturing management plans and ensuring every action arising from a clinic is completed or followed up.

You will need excellent attention to detail, sound judgement and the confidence to communicate professionally with patients, clinicians, hospitals and partner organisations.

Key responsibilities

  • Review, format and quality-check AI-assisted clinic letters, reports and clinical correspondence before they are issued.
  • Check patient identifiers, clinician details, medical terminology, medication information, recipients, attachments and formatting, referring any clinical uncertainty back to the responsible clinician.
  • Review clinic outcomes and accurately capture management plans, referrals, investigations, prescriptions, procedures, follow-ups and other actions.
  • Maintain clear worklists and tracking systems so that outstanding actions are followed through to completion and delays or concerns are escalated appropriately.
  • Arrange follow-up appointments, diagnostics, procedures and onward referrals within Midland Health and with partner hospitals or external providers.
  • Request and chase results, reports and correspondence from laboratories, imaging providers, hospitals and other relevant organisations.
  • Maintain accurate and up-to-date patient records in Semble and other approved systems.
  • Communicate with patients by telephone, email and approved digital channels, providing clear administrative information and an excellent standard of service.
  • Liaise closely with consultants, GPs, insurers, hospitals and the wider Midland Health team to coordinate care and avoid unnecessary delays.
  • Support the management of consultant clinics, including appointments, clinic availability, annual leave, room requirements and changes to schedules.
  • Work collaboratively with the wider secretarial team, providing cover during annual leave, sickness and periods of increased demand.
  • Handle confidential and sensitive information discreetly and in accordance with data-protection, safeguarding and Midland Health policies.
  • What we are looking for
  • At least two years’ experience working within an NHS practice or comparable healthcare environment.
  • Previous medical secretarial experience and/or a recognised medical secretarial qualification.
  • Experience of private healthcare or supporting private patient pathways.
  • Good knowledge of medical terminology and experience handling clinical correspondence, referrals, investigations and follow-up actions.
  • Strong written and verbal communication skills, with the ability to communicate sensitively and professionally with patients and clinicians.
  • Excellent organisation and time-management skills, with the ability to prioritise competing demands and meet deadlines.
  • A high level of accuracy and attention to detail, including the ability to identify missing information, clarify instructions and escalate concerns.
  • Confidence using electronic patient record systems, Microsoft Office and digital communication tools. Experience of Semble is desirable.
  • A proactive, adaptable and solution-focused approach, with the confidence to take ownership and follow tasks through to completion.
