We are looking for an organised and proactive Project Coordinator to support the planning, delivery and monitoring of multiple capital projects across the campus. You will maintain key project documentation, support governance and reporting processes, act as a first point of contact for project queries, and coordinate meetings, workshops and site visits. The role involves maintaining dashboards and KPIs, tracking milestones and budgets, working closely with Finance, and supporting communications to staff and students. You will also help ensure projects meet safety, compliance and quality standards while minimising disruption to teaching and campus activity. This role is ideal for someone with experience supporting projects within education, estates, construction or the public sector. Key Responsibilities
- Support the planning, organisation, and monitoring of multiple capital projects at varying stages of development.
- Maintain detailed project documentation, including schedules, risk registers, action logs, procurement records, and change control documentation.
- Assist with preparing business cases, project briefs, meeting packs, and board papers.
- Coordinate internal governance processes such as project gateways, approvals, audits, and compliance reporting.
- Act as a first point of contact for queries relating to project activities.
- Arrange and facilitate meetings, workshops, stakeholder consultations, and site visits.
- Support communication activities to staff, students, and wider campus users (e.g., service disruptions, construction notices, decant planning).
- Build strong working relationships with curriculum departments, professional services, contractors, and external consultants.
Skills, Knowledge & Expertise
Essential
- Experience supporting projects within an education, estates, construction, or public-sector environment.
- Strong organisational and multitasking skills with the ability to coordinate activities across multiple projects.
- Excellent written and verbal communication skills with the ability to work with diverse stakeholders.
- Proficiency in project management tools (e.g., MS Project, Excel, Planner, SharePoint, or similar).
- Strong attention to detail and ability to maintain accurate documentation and reporting.
- Awareness of construction/estates terminology, project stages, and health & safety considerations.
Desirable
- Experience working on capital, refurbishment, or infrastructure projects.
- Knowledge of RIBA stages or similar project frameworks.
- Understanding of higher education / school operational environments and their constraints.
- APM PFQ or similar project management training/certification.
- Experience using digital project management and compliance systems.
