Microsoft AI is looking for an Executive Team Assistant + Office Manager to help support the Strategy & Operations team in London. Microsoft AI’s (MAI) Mission is to use AI responsibly to make everyone more informed, capable, and supported. MAI is responsible for Microsoft’s consumer propositions including Copilot, Bing, MSN, Microsoft Advertising, and Edge, as well as developing proprietary foundational AI models. MAI works closely with a variety of teams across Microsoft and across the full AI stack to deliver on Microsoft’s AI ambitions.

The ETA and Office Manager role requires a very bright, proactive, and resilient business support professional who can demonstrate a minimum of 7 years’ experience supporting senior leaders, whilst managing projects including events, office management, and occasional HR duties (e.g. onboarding). The ideal candidate will possess expert judgement and be able to read between the lines, demonstrating a proven track record of delivering results in an entrepreneurial and high-performing environment.

Responsibilities- Office management: Work with the Head of Operations to maintain a dynamic team environment and create a space for an exceptional employee experience.
- Cross-Functional Collaboration and Communication: Proactively drives communication and liaises between executives, central teams, and other business partners to share information and best practices that drive efficiency.
- Travel Management: Coordinate travel arrangements (e.g., accommodations, transportation, security) for manager(s) and team.
- Resource Management: Owns expense management including documentation, expense tracking, and policy compliance.
- Calendar Management and Meeting Logistics: Provides strategic calendar management and time planning support for manager(s) and team.
- Event Coordination and Logistics: Works with the wider EA team to manage, plan, and develop events.
- Project Ownership: Balances multiple complex projects and timelines end to end while maintaining executional and operational excellence.
- Space Management and Planning: Works with the Head of Operations to oversee space-management processes and team spaces.
- Team Management Support: Leads team experience activities and collaborates with Global Talent Acquisition to facilitate recruitment efforts.
- Required Qualifications: Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper-level management.
- Preferred Qualifications: Passionate about creating an excellent office experience. Experience managing a team with dual accountability. Proactive and collaborative mindset demonstrating complete ownership of their areas. Comfortable working from the office 3/4 days a week.
