JOB TYPE: Full-Time
HOURS OF WORK: Monday to Friday – 9.00am to 5.00pm (with half an hour unpaid lunch break)
SALARY RANGE: £27,000 - £30,000 per annum
THE ROLE: The Customer Service Co-ordinator plays a vital role within the Commercial Team, acting as the primary administrative and operational support for our customers. This role is responsible for delivering an outstanding customer experience through accurate administration, proactive problem solving, effective communication and strong collaboration across the business. Working closely with Business Development Managers, Consumables colleagues and Operational teams, you will ensure customer requirements are met efficiently while supporting the retention and growth of our customer base.
Key Responsibilities include:
- Acting as a key day-to-day contact for allocated customer accounts and providing a professional, responsive and customer-focused service at all times.
- Managing customer enquiries received via telephone, email and other communication channels and building positive working relationships with customer contacts.
- Supporting Business Development Managers and the wider Commercial Team to deliver excellent customer service and account management, enabling them to maximise customer-facing time.
- Ensuring customers receive timely updates regarding orders, deliveries, installations and service-related queries.
- Maintaining accurate records of customer communication, documentation and actions taken, as well as sharing best practice across the team.
- Continuous improvement activities such as identifying opportunities to improve, contributing to the development of SOPs, highlighting recurring customer issues and recommending solutions.
- Supporting initiatives led by the Customer Excellence Supervisor to improve efficiency, service standards and customer satisfaction.
- Managing all customer garment administration through our internal database Protrack and other business systems, including activities such as processing garment additions, removals, replacements and amendments.
- Raising and managing orders relating to textile rental services, direct sales, temporary garments and buffer stock.
- Managing locker labels, name badge requests, repair bag orders and garment sample requests.
- Monitoring delivery dates and communicating updates where required.
- Taking ownership of customer issues to ensure timely resolution. Investigating and coordinating customer complaints and service concerns.
- Raising internal complaints where appropriate and ensuring actions are followed through.
- Liaising with operational departments to resolve issues effectively.
- Escalating concerns appropriately whilst maintaining ownership of customer communication.
- Supporting customer retention through effective issue management and service recovery.
The Ideal Candidate:
- Previous experience within a customer service, customer support or commercial administration role.
- Excellent written and verbal communication skills.
- Strong organisational skills and attention to detail.
- Competent in Microsoft Office applications.
- Experience using CRM or customer management systems.
- Strong problem-solving abilities.
- Ability to build effective working relationships internally and externally.
Desirable:
- Experience within a business-to-business environment.
- Experience working within service, rental, manufacturing or distribution sectors.
- Experience using IFS, Protrack or similar operational systems.
- Understanding of textile rental, garment management or consumable products.
- Ability to prioritise workload and manage multiple tasks simultaneously.
