MiCiM International is expanding, and we are looking for a highly organised and proactive Operations Administrator to support our international Operations team. If you enjoy variety, enabling others to work efficiently, and bringing structure to a fast‑paced environment, this role will give you the opportunity to make a meaningful impact across our European operations.

As an integral part of our Operations function, you will support the day‑to‑day coordination that keeps our international activities running smoothly. You will help manage European deployment processes, strengthen communication with remote teams, provide key administrative support to leadership, and contribute to business development and marketing efforts.

Key Responsibilities:
  • Schedule meetings, manage diaries, track actions, and prepare agendas and follow‑up notes
  • Maintain document templates, operational records, and internal files to ensure consistency across the business
  • Support mobilisation tasks for new country deployments.
  • Work closely with internal teams to keep deployment timelines accurate and updated.
  • Support communication frameworks to help reduce silo working across European teams.
  • Coordinate virtual and in‑person meetings
  • Maintain databases of suppliers, partners, and contacts across Europe
  • Prepare and format tender submissions, capability statements, and proposal content
  • Update presentations, marketing materials, and digital content
  • Assist with logistics and materials for industry events
  • Arrange international travel including flights, accommodation, and transport
  • Prepare itineraries, ensure compliance with regional requirements, and maintain travel calendars.
  • Manage inbox monitoring, document organisation, and internal communications.
  • Support planning and coordination of workshops, training sessions, and internal meetings.
About You:
  • Strong organisational skills with experience in a fast‑paced environment.
  • Experience coordinating travel and logistics.
  • Ability to create, update, and format marketing and BD materials
  • Confident communication skills, particularly with remote or international teams.
  • High attention to detail and the ability to manage multiple tasks at once.
  • A proactive mindset and strong time‑management capabilities.
