Are you a highly organised HR Administrator who enjoys variety, detail and keeping people processes running smoothly?

Mi Ci M is looking for a proactive HR Administrator to join our Reading HQ and support a busy HR function working across multiple projects, legal entities and European locations.

This is a fantastic opportunity for someone who thrives in a fast-paced, project-led environment and takes pride in delivering accurate, professional support to employees, managers and candidates.

What you’ll be doing: Preparing, issuing and tracking employment contracts, offer letters and onboarding documentation accurately and efficiently.

Maintaining HR templates and ensuring the correct project, entity, location, salary, benefits and reporting details are captured.

Coordinating with HR, Payroll, Finance, Commercial and project teams to gather information and keep actions moving.

Managing new starter administration, including right-to-work checks, references, personal details, payroll inputs, benefits information and onboarding packs.

Keeping employee records, HR systems, trackers and files accurate, compliant and up to date.

Supporting onboarding logistics for employees joining projects in the UK and across Europe.

Tracking contract status, outstanding information, start dates and key HR actions, escalating risks or delays where needed.

Assisting with employee lifecycle administration, including changes to terms, extensions, transfers, mobility paperwork and compliance documentation.

Supporting work permit and visa application administration by gathering documentation, tracking progress and keeping stakeholders informed.

Providing proactive administrative support to the Head of HR, including meeting preparation, action tracking, document formatting, filing and follow-up.

What we’re looking for Previous experience in an HR Administrator, HR Assistant, People Administrator or similar role.

Strong attention to detail, with the ability to prepare accurate contracts, offer letters and onboarding documentation.

Excellent organisational skills and the ability to manage multiple priorities, deadlines and stakeholders.

Clear, confident communication skills and a proactive approach to following up information.

Professional, discreet and comfortable handling confidential employee and candidate information.

Confident using Microsoft Office, particularly Word, Excel and Outlook; experience with HR systems or applicant tracking systems would be helpful.

Experience in a fast-paced, project-led, construction, engineering, consultancy or international environment would be advantageous.

A CIPD Level 3 qualification, or working towards one, would be beneficial.
