We are looking for a full-time Assistant Project Administrator to support a busy construction office in London. This is an excellent opportunity for someone with strong organisational skills and an interest in construction administration to develop within a growing and fast-paced business. You will work closely with the Project Administrators, Office Manager and site teams to support the smooth running of day-to-day operations and project administration. The business is based in Kensington, London, specialising in commercial interior fit-outs and refurbishments. They deliver high-quality, deadline-driven projects across the commercial sector, including Offices, Education and Healthcare.

Role Purpose: Provide day-to-day administrative support to the project and commercial teams, assisting with procurement, compliance, document control and general project coordination to ensure projects run efficiently and accurately.

Key Responsibilities:

  • Assist with issuing purchase orders and tracking supplier quotations
  • Support the maintenance of accurate supplier, subcontractor and project records
  • Help coordinate site documentation, delivery schedules and project correspondence
  • Liaise with suppliers and subcontractors regarding deliveries, documentation and general queries
  • Upload and maintain project documentation including RFIs, drawings, submittals and site records within Procore
  • Assist with monitoring subcontractor compliance and site inductions using 1Breadcrumb
  • Maintain organised digital filing systems and ensure documents are up to date
  • Support project teams with delivery and invoicing queries
  • Monitor project inboxes and distribute correspondence appropriately
  • Assist with preparing H&S files, O&M manuals and project close-out documentation
  • Track variations, delivery notes and general project administration tasks
  • Provide general administrative support to Project Managers and the wider site teams
  • Ensure all documentation is completed accurately and within project deadlines

Skills / Experience:

  • Previous administrative experience within construction or a fast-paced environment preferred
  • Strong organisational and multitasking abilities
  • Excellent attention to detail and accuracy
  • Strong verbal and written communication skills
  • Positive, proactive and team-oriented attitude
  • Proficient in Microsoft Office 365 (Excel, Word, Outlook)
  • Eagerness to learn and develop within the construction industry
