Description:

  • Diary management, meeting prioritisation and forward planning for the Chairman, Board Directors and senior executives.
  • International and domestic travel arrangements, including hotels, cars, itineraries, contingency planning and visa support.
  • Chairman office readiness, including furniture, printer, AV, telephone, room presentation and snagging follow-up.
  • Confidential correspondence and relationship management with Chairman office contacts.
  • Trusted London point of contact for family members requiring UK support.
  • Discreet handling of sensitive matters.
  • Executive subscriptions, clubs and memberships, including renewals, invoices, payment entity decisions, approvals and cross-charging.
  • Annual Board and Committee calendar management and meeting support.
  • Boardroom preparation, attendance coordination, hospitality and meeting readiness.
  • Board dinners, catering, venue selection, guest logistics, transport and accommodation support.
  • Board member travel, accommodation and visa support.
  • Signature collection, notarisation, legalisation, document execution and governance records support.
  • Board and NED fee administration, including schedules, calculations, approvals, payment instructions, payment status and liaison with Finance / Payroll / Company Secretariat.
  • Year-end, audit, annual report and financial statement requests relating to Board fees, NED remuneration, director information, related party disclosures and UK entity records.
  • Dividend NFA and funding memo preparation, approvals, Treasury / Banking Operations liaison, registrar coordination and retention of dividend funding evidence.
  • Shareholder, registrar and special adviser administration, including Coronation Registrars approvals / payments, bank details, invoice packs and mobile or equipment support for special advisers.
  • Additional Board support for the Chairman and other key execs for external Board commitments, including liaison with portfolio companies, invitations, attendance requirements, diaries, dinners, cars, transfers and expense claims.
  • Office readiness, meeting rooms, Boardroom standards, general presentation and workplace operation.
  • Lunch planning, ordering, plating and delivery.
  • Stationery, couriers, catering, kitchen / pantry supplies, office supplies, postage, staff and visitor hospitality.
  • Repairs, HVAC, lighting, waste, facilities issues, landlord and building management liaison.
  • Board and meeting catering, including provider coordination such as Ocado, Bacchus or other suppliers.
  • Board dinners, event hospitality, cost / vendor / quality knowledge and high-standard visitor experience.

Profile: A successful Executive Assistant should:

  • Ideally have worked for an UHNWI as well as corporate company as an EA.
  • Have worked in a high pressure environment.
  • Have done a very all-round role.
  • Be very adaptable.
  • Calm and considered even when under pressure.

Job Offer: A salary ranging from £100,000 to £125,000 dependent on the candidate. Additional benefits provided by the company.
