As Office Coordinator & VP / Administrative Assistant you will provide operational, administrative, and executive support to ensure the smooth day-to-day functioning of the office and effective support to senior leadership.
- Office Coordination & Workplace Support
- Support daily office operations and workplace services.
- Coordinate routine office activities to ensure continuity of services and a professional working environment.
- Manage meeting room bookings and day-to-day space scheduling in line with defined guidelines.
- Support postal and courier routines, ensuring accuracy and timely execution.
- Assist with internal office moves and workspace changes following approved plans and instructions under Workplace Manager supervision
- Act as a point of execution for workplace initiatives defined by Workplace Experience leadership.
- Liaise with internal teams, visitors, and external partners for operational and administrative matters.
- Ensure clear communication flow and timely follow-ups across functions.
- Ensure office readiness and operational support for leadership activities.
- Facilities & Vendor Coordination
- Act as operational point of contact for workplace related vendors for day-to-day matters, service follow-up and issue tracking.
- Log, monitor, and follow up on office repairs, maintenance, and cleaning requests using established processes.
- Support weekly maintenance and cleaning audits, reporting outcomes and issues to the Workplace Experience Manager.
- Identify and escalate facilities issues based on urgency
- Ensure vendors operate within agreed scopes, SLAs, and instructions provided by management.
- Administration & Financial Support
- Support petty cash management, invoice processing, and administrative documentation.
- Assist with invoice tracking and approval workflows
- Ensure documentation accuracy and compliance with internal procedures.
- Handle confidential information with professionalism and discretion.
- Health, Safety & Compliance (Operational Support)
- Under H&S guidance maintain updated records for key holders, safety documentation, and office compliance materials.
- Coordinate Safety Walks and onboarding support for new starters.
- Ensure First Aid and Fire Marshal information is visible and current.
- Report compliance issues and gaps to the Workplace Experience Manager.
- Ways of Working & Continuous Support
- Support continuous improvement initiatives led by the Workplace Experience Manager.
- Execute defined processes, tools, and ways of working consistently.
- Provide operational feedback and flag improvement opportunities when identified.
- Support ad-hoc activities and projects as assigned.
- Senior Leadership Administrative Support
- Provide structured administrative and coordination support to senior leadership.
- Manage calendars, meetings, and agendas following leadership priorities.
- Act as a coordination bridge between senior leadership and internal teams for operational matters.
- Support executive needs related to office operations and logistics, escalating when decisions are required.
- Support snr leadership correspondence and documentation where required.
- Coordinate executive travel arrangements following company policies and approved guidelines.
- Prepare and submit senior leadership travel expenses.
- Support planning and logistics for executive visits, meetings, and internal events.
