We are currently looking for a Business Support Coordinator to join our Business Operations Function within the Safety & Surveillance group. This is a full-time opportunity, on a permanent basis. The role will be based at 10 South Colonnade, Canary Wharf London, E14 4PU.

Government departments and agencies are working towards implementing a minimum 60% attendance in office sites. We are implementing a flexible, hybrid way of working, with a minimum of 8 days per month on site to enable collaboration and contact with partners and stakeholders needed to deliver MHRA business. Attendance on site is driven by business needs and can flex up to 12 days a month, with the remainder of time worked either remotely or in the office. Some roles will need to be on site more regularly.

The Medicines and Healthcare products Regulatory Agency enhance and improve the health of millions of people every day through the effective regulation of medicines and medical devices, underpinned by science and research. The Safety and Surveillance Group brings together devices and medicines safety expertise with enforcement capabilities. These functions are supported by data and evidence generating capabilities complementing our signal generating capabilities produced via the new Safety Connect System. The Group Business Operations function supports the effective running of the Group, including budget and performance management and works closely with the whole Group and the enabling centre of the Agency.

The Business Support Coordinator will provide comprehensive programme delivery and administrative support to the Safety and Surveillance Group, in addition to supporting the Business Support and Analytics Manager’s operational and strategic activities to ensure that all projects deliver to time. The post holder will provide a Secretariat function across the entire Group, supporting multiple Deputy Directors with diary management for Safety and Surveillance business/staff meetings and a range of other meetings and initiatives as required, ensuring accurate minutes and allocation and tracking of actions. They will also help manage work coming into the Deputy Directors’ offices to ensure timely allocation across the Group to support efficient business operations. The post holder must have organisational skills and programme management experience, skills, or training to balance a varied range of tasks and requirements to support successful project delivery.

Key responsibilities

  • Perform diary management activities for Deputy Directors across the Division and serve as the Secretariat for Senior Management/staff meetings/external meetings and ad hoc meetings as required. This includes coordinating a programme of work for each function and team meetings to ensure key functional work is communicated and outputs are implemented.
  • Manage administrative work such as monthly reports, patient enquiries, training and development, Freedom of Information requests, media requirements, etc., by tracking progress and ensuring timely delivery.
  • Support programme management activities including progress tracking, coordinating completion of key deliverables, stakeholder management, organisation and prioritisation of key actions.
  • Provide support to the Deputy Directors in the development and organisation of policy and strategy documentation both in the Group and across the Agency. Prepare communication materials including presentations and work across the group to support coordination of documents which are often urgent and needed at short notice.
  • Support horizon scanning activities, including development of background research materials.
