The role is an integral part of the agency’s central Support Team with primary responsibility for supporting the Brand and Reputation and Financial Services Practice Heads and their wider teams, alongside wider administrative responsibilities across the agency. This role will also involve providing general support to the PA to the CEO & Deputy CEO, including cover on hybrid working days, non‑working days, and during periods of annual leave.
The role will split between operating as a PA and wider team administrator for these two teams as well as providing administrative and operational support to the wider team. Two key areas of responsibility will include:
- Provide PA and administrative support to the Heads of Brand and Reputation and Financial Services and their teams:
- Diary management (includes scheduling external & internal meetings, room booking, catering etc)
- Liaising directly with clients on behalf of Practice Heads when appropriate
- Booking Travel & logistics
- Expenses
- Timesheets
- Maconomy support (approving finances and team holidays in the company portal)
- Provide administrative and operational support to the wider team including providing support to Nichola Lockett, operating as the CEO’s PA on her Non-Working Day (Wednesday):
- Assisting with agency-wide events and meetings (including weekly all-agency meetings, weekly drinks trolley etc)
- Supporting on essential central office management tasks to ensure a smooth day to day running of the office
- Providing central administrative support to client teams
- Scheduling external meetings
- Booking travel and logistics
- Proactively support senior team members in admin as directed by the Practice Head
- Maintaining internal documents with the relevant and up to date information, including client lists, staff biographies etc
- Assist with renewal of subscriptions on behalf of the team
- Support on recruitment by diarising interviews and assisting with the onboarding of new members of staff within the team
- Ad-hoc support for people aspect of team (buying event gifts and cards, ordering and organising food/ drink for team socials)
