Industrial Field Service Coordinator About the Role
We are seeking an organised and proactive
Industrial Field Service Coordinator
to support the delivery of field service activities within a technical engineering environment. This role is responsible for coordinating day-to-day field operations, including engineer scheduling, customer communication, documentation control, logistics planning, and administrative support. The successful candidate will play a key role in ensuring service activities are delivered safely, efficiently, and in line with required procedures and standards. Key Responsibilities
Service Planning & Coordination
Coordinate and schedule field service engineers for installation, commissioning, maintenance, and reactive service activities. Manage engineer diaries, workload allocation, and resource planning based on priorities and availability. Acknowledge customer orders and confirm service requirements, scope, and attendance dates. Monitor job progress and maintain accurate updates within internal systems. Identify and escalate scheduling conflicts, delays, or resource requirements when necessary. Customer & Stakeholder Communication
Coordinate site access arrangements and confirm attendance details with customers. Arrange delivery of equipment, materials, and parts to site locations. Provide customers with service confirmations, updates, and completed job reports. Act as a key point of contact for routine service enquiries and coordination matters. Documentation & Compliance
Prepare and issue risk assessments and method statements for site activities. Support compliance with health and safety requirements, including relevant industry standards. Review engineers job sheets and coordinate follow-up actions, remedial works, and quotations. Maintain accurate service records and documentation within ERP and service management systems. Logistics & Resource Management
Raise purchase orders for spare parts and coordinate dispatch to field engineers. Support stock management, including engineer vehicle stock records. Coordinate calibration of tools and test equipment where required. Assist with organising remedial works and associated quotations following engineer reports. Financial & Administrative Support
Prepare monthly claims and invoices for completed works. Raise purchase orders and maintain accurate administrative records. Provide general coordination support to ensure smooth delivery of field service operations. Key Tasks
Acknowledge and process customer orders. Issue site documentation, including risk assessments and method statements. Arrange site access and coordinate field service attendance. Manage engineer and installation team schedules. Plan and programme field service activities. Arrange purchase and dispatch of spare parts. Review engineer reports and coordinate remedial actions. Issue completed job reports to customers. Support invoicing and monthly claims processes. Maintain engineer stock records and support equipment calibration activities. Qualifications & Experience
Essential: Minimum of 5 GCSEs (or equivalent), including Maths and English. Experience in service coordination, engineering support, administration, or project coordination. Strong administrative and organisational experience. Experience using Microsoft Office and business management systems. Desirable: Experience working within a technical, engineering, industrial, manufacturing, or energy-related environment. Understanding of health and safety documentation and compliance requirements. Experience using ERP or service management software. Skills & Attributes
Excellent organisational and time management skills. Ability to prioritise and manage multiple projects and service activities simultaneously. Strong communication skills with the ability to liaise professionally with customers, engineers, and internal teams. High attention to detail and accuracy when managing documentation and records. Customer-focused approach with strong problem-solving abilities. Ability to work independently while following established processes and procedures.
