Role summary: Supporting the M&G Group Chief of Staff and the wider M&G Group CEO Office team.
Expectation of Time in Office: The expectation for the Group CEO Office and Chief of Staff is that the role holder will be required to work in the office in keeping with the Group Chief of Staff's working pattern (typically 4 days per week in office). On occasion, the role holder may work from home whilst the Group Chief of Staff / Group CEO are on international travel / leave. The role holder will be required to work full time in the office, up to 5 days per week as required when supporting the Group CEO.
The key elements of the role are:
- To provide efficient and organised support to the M&G Group CEO Chief of Staff.
- To provide support to the wider Group CEO Office team as required.
- To provide full cover when M&G Group CEO Executive Assistant is on leave.
Job scope:
- Provides highly skilled and organised daily management of diaries, actively and efficiently assessing priority and importance of appointments and using sound judgement in order to reschedule/reprioritise commitments.
- Proactively manages and maintains email accounts on a daily basis, including flagging any urgent emails that need to be addressed.
- Works collaboratively with colleagues and takes personal accountability for maintaining and enhancing controls, providing support to ensure improvement of the overall control environment, customer outcomes and a reduction in M&G's operational risk.
- Collaborates with Group CEO Executive Assistant in the coordination of logistics for regular and ad-hoc Group Executive Committee meetings, Offsites and Socials as required.
- Coordinates and diarises large / other complex meetings at the request of Group CEO Chief of Staff and wider Group CEO Office team as required.
- Understands the detail of the functions/roles supported, enabling autonomous working and anticipation of where support may be needed.
- Ensures documentation is collated and distributed ahead of meetings as appropriate, ensuring attendees are well prepared.
- Manages Purchase Orders, Expenses and other finance related tasks when required for Group CEO Chief of Staff and Group CEO Office team.
- Plans and organises events, either internal or events with external colleagues.
- Coordinates and books complex travel, including preparation of travel itineraries where required.
- Provides high quality documentation as required (including but not limited to, PowerPoint presentations, Excel spreadsheets, reports, agendas & minutes).
- Provides other general administrative duties including but not limited to, assisting with onboarding of new joiners, proofreading and formatting documents to a high quality.
