As an integral member of the Safety, Health, Environment, and Quality (SHEQ) Team, reporting to the Head of SHEQ and collaborating with other SHEQ Business Partners and specialists the primary function of this role is to provide essential data analysis, systems support, and technical expertise to the team and wider business and is responsible for managing and controlling documentation and reports. The SHEQ Data and Systems Coordinator will play a pivotal role in supporting the SHEQ Team’s efforts to create a positive user experience for all safety systems and data owned by SHEQ. They will be instrumental in establishing efficient systems and managing data and processes effectively. Responsibilities Business, Customer and Supplier Support To create a positive user experience for all safety systems and data owned by SHEQ Advise and assist all staff on matters relating to SHEQ within their work environment. Assist in the development, implementation, and maintenance of share point sites to facilitate information sharing across SHEQ and appropriate user groups. Create a suite of informative “How To” videos to act as a user tool to give instruction on how to use systems and data information processes owned by SHEQ. Develop relationships with external suppliers/ 3rd parties to ensure service standards are achieved and maintained. Always provide excellent customer service and act as the first point of contact for SHEQ system, IMS enquiries via email and telephone, ensuring all users are provided with the support they require to efficiently use the systems. Provide excellent, efficient, and courteous customer service, at all times. Effective System and Data Management To be instrumental in establishing efficient systems and managing data and processes effectively To actively contribute to the implementation of the health and safety data operating model. To facilitate the use of all relevant systems, ensuring ease of use and positive support experiences Take ownership for the management and control of the SHEQ shared drive to ensure it is maintained and efficient. Support the regular review and update of website/customer SharePoint content to ensure accuracy and positive user experience; working with SHEQ Colleagues to create, develop and act as editorial for content ensuring it meets all copyright and accessibility requirements. To be responsible for content editorial and publishing of the Safety Alerts as required in collaboration with the communications team. Develop and assist in implementing a document library and associated framework, to enable improved document and procedural standards and systems of document control. SHEQ Team Support Support the implementation of Microsoft planner/Lists to support the monitoring of the SHEQ workplan and projects. Work collaboratively with the SHEQ team to facilitate the support of data and systems. This involves effective communication, regular attendance at meetings, and escalation of issues to appropriate team members where necessary. Undertake administration support and diary oversight as required. Process Reviews and Continuous Improvement To make significant contributions to process reviews and system developments involving key data to ensure seamless and effective processes. Assist in formulating procedures to ensure data integrity and legitimacy of data: People data (staff and post graduate researchers) Organisational hierarchy Location register Responsible Persons Register Implement operational user groups/workshops to enable improved user experience as appropriate. Work with the wider SHEQ Team, to develop new systems and processes to maximise efficiency and avoid duplication of data within the Safety Services arena. Administration, Reporting and Management Information Facilitate/support the development, implementation, and adoption of a framework of performance monitoring standards and data quality metrics to monitor and add value to the IMS. To support the Data Reporting managing in the provision and interpretation of data for the purpose of creating senior level reports or data reporting dashboards To implement a remedy force or equivalent as a monitoring framework and key source of safety performance data and information Assist in the creation and review of reports to senior management teams on safety performance against KPIs and improvement planning as required. To be responsible for the management of the SHEQ mailbox offering support to the Metroline Manchester community to an agreed SLA To undertake administrative tasks to support the efficiency of SHEQ reporting and document management. Support the administration for the development and delivery of the Safety Training and coaching. Accreditation coordination Support the maintenance and audit of accreditations supported or managed by SHEQ. Essential Criteria Ability to be proactive and self-motivated, with a strong desire to be accountable for project success. Experience of planning, implementing, and measuring processes to achieve successful outcomes. Experience of working with/editing documentation for media or website communications Co-ordinating a range of activities and resources to achieve effective and concrete outcomes.
