About the Role
We are looking for a highly organised and proactive Project Coordinator to provide full-time control, continuity and executive coordination support to the Projects Department. This is a key role within a busy, site-led environment, ensuring that workflow, communications, records, commercial processes, system integrity and follow-through remain strong while the senior team is frequently travelling or working on site.
Contract: Permanent, full time.
Hours: 40 hours per week and Lunch Break unpaid 30 mins each day and paid 37.5 hours per week.
Key Responsibilities
- Provide executive coordination and continuity support the team, including diary management, travel arrangements, meeting coordination, action tracking, prioritisation and follow-up management.
- Act as the central communication interface between Projects, internal departments, consultants and clients, ensuring information is progressed promptly.
- Own the integrity of in house system as the primary enquiry and pipeline tool, ensuring stages such as enquiry, quote issued and approved are accurately maintained.
- Ensure purchase orders are in place or confirmed before work commences.
- Prepare completed jobs for invoicing as close to completion as possible by collating job status, completion evidence, variations, costs and relevant approvals.
- Support case study capture, CRM follow-up, marketing inputs, RAMS, reporting packs and departmental records as part of a more structured Projects function.
Skills and Experience
- Strong coordination, administration or project support experience, ideally within a projects, construction, facilities, engineering, service or operational environment.
- Excellent organisational skills, with the ability to manage multiple priorities, deadlines and follow-up actions at the same time.
- Confident communicator who can work effectively with internal teams, external consultants, clients and group companies.
- High attention to detail, particularly when maintaining systems, updating records, preparing information for invoicing and managing commercial documentation.
- Comfortable using CRM, job management, reporting or workflow systems; experience with Pipedrive, Aeromark or Power BI would be advantageous.
- Proactive approach with the confidence to chase actions, clarify information and keep work moving without needing constant direction.
- Good working knowledge of Microsoft Office, including Outlook, Excel and Teams.
