Metcalfe Plant Hire is one of the North of England’s largest construction plant hire businesses. Based in Penrith, Cumbria, we are currently recruiting for a part-time Plant Administrative Assistant to join the team.

The Role

To provide efficient administrative support with a primary focus on preparing and processing sales invoices relating to Sweepers and Tippers, while assisting with a range of ad‑hoc office administration duties to support the smooth running of the Plant Division.

Key Responsibilities

  • Sales Invoicing
    • Prepare and process accurate sales invoices for sweepers, tippers, and related services/equipment.
    • Verify job sheets, delivery notes, and supporting documentation prior to invoicing.
    • Ensure invoices are issued in a timely manner and in accordance with company procedures.
    • Maintain accurate invoicing records and filing systems.
    • Liaise with operations, workshop, and finance teams regarding invoice queries.
    • Assist with credit notes and customer account reconciliations where required.
  • General Administration
    • Provide day‑to‑day administrative support to management and office staff.
    • Answer telephone calls and respond to emails professionally.
    • Maintain electronic and paper filing systems.
    • Input and update data on internal systems and spreadsheets.
    • Assist with document preparation, scanning, and correspondence.
    • Support ad‑hoc administrative tasks as directed.

Skills & Experience Required

  • Previous experience in an administrative or office support role.
  • Strong attention to detail and accuracy.
  • Good organisational and time management skills.
  • Competent in Microsoft Office, particularly Excel and Outlook.
  • Ability to manage workload independently and prioritise tasks.
  • Good communication skills.
  • Experience preparing sales invoices.
