We're looking for a Facilities Management Coordinator to help us make a difference to our planet.
Job Overview
You will assist the Facilities Manager in managing all facilities management related activities to ensure that workplaces and the environment remain suitable for all occupants to stay safe and thrive. You will support all aspects of day-to-day hard and soft facilities management services, including contract and supplier management, in addition to the planning and delivery of an extensive maintenance/minor works programme acting as the key customer interface.
Responsibilities
- Schedule planned maintenance activities, including asset management, and arrange corrective maintenance to safeguard the estate and maintain statutory compliance obligations.
- Manage key bronze level contracts and suppliers (e.g., waste, cleaning, grounds, multi‑functional devices, vending, mobile telephony) and monitor key performance indicators to ensure operational requirements are met.
- Act as contact for enquiries on behalf of the wider Property Management group and ensure queries are directed to the subject matter experts, ensuring a quality service and excellent customer communications.
- Manage and administer IT systems that relate to the building environment (e.g., Facilities Management Software CAFM & CEMAR, Condeco) and interface with Met Office change management tools, ServiceNow.
- Oversee the invoicing process in accordance with Government and Met Office mandated targets.
- Provide detailed information and reports to comply with key performance indicators and audit requirements.
- Develop and maintain services such as events in the street and conferences and provide clear communication to building users to ensure alignment with the business needs.

As our Facilities Management Coordinator, your total reward package will be up to £40,524 annually, which includes:
- An outstanding Civil Service pension, with an average employer contribution of 28.97%.
- Annual Leave starting at 27.5 days (plus Bank Holidays) rising to 32.5 days (plus Bank Holidays) after 5 years, with an option to buy or sell up to 5 days per year of annual leave.
Essential Criteria, Skills and Experience
- Possess or be working towards Associate level membership of a relevant professional body (e.g., IWFM Level 4/5) – (Lead Criteria).
- A proven track record and experience of corporate financial and procurement processes, including identification of cost reduction/efficiency programmes.
- Contract Management experience and, ideally, accreditation to the Government Commercial College.
