Job Overview
Admin and Clerical – Grade NHS Af C Band 4 – Permanent – Full time – 37.5 hours per week (Mon‑Fri 9‑5) – Job ref 409‑7900577‑A – Site: Warrington and Halton Teaching Hospitals Foundation Trust, Town: Warrington.
The role is based at Warrington Hospital with a potential shift to Whiston in the future. Relocation to Whiston is expected.
Provide comprehensive secretarial services to Consultant Pathologists, junior medical staff and the Departmental Manager in the Cellular Pathology Department, assisting with the organisation of their workloads.
Manage workload, coordinate with other medical secretaries to ensure efficient service.
Execute duties to contribute positively to the organisation of work, exercising initiative commensurate with the role and maintaining confidentiality at all times.
An important note: The JD & PS are currently under Af C review and are subject to change.
Main duties of the job
- Type histology and non‑gynaecological cytology reports into the Telepath system, ensuring all patient, requester and clinical details are correct and correlating the handwritten/dictated report with the diagnosis written on the request card, highlighting discrepancies to medical staff.
- Use SNOMED to ensure the Doctor has allocated the appropriate codes; accurate selection of codes is essential for audit purposes within the department and within the Trust.
- Ensure all reports have medical authorisation before distribution to wards, departments, general practitioners, etc.
- Raise outstanding or urgent reports required for outpatient appointments, ward rounds, etc.
- Distribute signed Coroner’s post‑mortem reports in accordance with H. M. Coroner guidelines to consultants, general practitioners and other agreed healthcare workers.
Person specification & Qualifications
- RSA/OCRIII typing or equivalent.
- Knowledge of medical terminology.
- AMSPAR or equivalent experience.
- Shorthand skills / speed writing.
- 2 years’ experience as medical secretary.
- Excellent IT skills – Microsoft Office products.
- Previous experience within the NHS.

- Maintain computerised and manual filing/documentation system accurately.
