Personal Medical Secretary – 37 hours per week – Ophthalmology department. Provide comprehensive service to Consultants and Specialty Teams with minimum supervision. Organise workload, coordinate with other Medical Secretaries, maintain confidentiality, exercise initiative.

Main duties

  • Keep diary up to date, arrange appointments, travel and accommodation.
  • Operate effective bring forward system and filing system.
  • Type dictation from audio transcription of clinical correspondence and documentation, ensuring adherence to Standard Operating Procedures.
  • Type discharge summaries as appropriate.
  • Check clinical letters for follow‑up arrangements/investigations, and rectify if necessary.
  • Manage and maintain 18‑week pathways including tertiary referrals to external trusts and ensure completion on the PAS system; track referrals and confirm patient review; arrange follow‑up appointments in line with the Referral to Treat (RTT) patient pathway.
  • Support Consultant in non‑clinical activities and Clinical Director role by preparing presentation documents, arranging meetings, circulating agenda/supporting papers, and taking minutes.
