An exciting opportunity has arisen for a Patient Safety Support Officer to join our Patient safety team. The aim of this role is to assist in supporting the Trust’s patient safety assurance process and in use of the Incident Management system, providing advice and assistance to staff across all Trust sites. The position involves working with all aspects of the system including quality checking incidents, trend analysis, and system configuration. The role will act as first point of contact for system enquiries and support the provision of a professional, effective and efficient service for the system users. The successful applicant will be required to travel between Whiston Hospital and Southport Hospital sites.

Main duties of the job:

  • Review and give final approval to incidents in Incident management System and ensure they do not contain any patient identifiable data or information.
  • Liaise with managers / investigators for updates and amendments if there are insufficient or conflicting information or missing data and elevate incidents that pose serious harm or could be potential Never Events.
  • Maintain oversight of the safety team email inbox, providing advice and guidance, answering any queries and ensuring appropriate action or escalation is taken.
  • Support system users by creating and amending access to the system and setting and managing security levels for all users.
  • Maintain the Patient Safety inbox and liaise with other Trusts and the ICB on internally and externally reported incidents, ensuring the Interface Incident spreadsheet is populated and updated and feedback is sent.

Detailed job description and main responsibilities:

  • Gain understanding of the system configuration and administration settings to implement necessary changes.
  • Create reports and dashboards or run searches within the incident management system for information gathering and trend monitoring.
  • Raise and allocate incidents for SJR reporting in line with the Learning from Deaths programme and offer administrative support to Trust Mortality Surveillance processes.
  • Update the investigation spreadsheet using information from the nationwide database when required.
  • Input and assign actions relating to serious incidents and add lessons learned codes from finally approved investigation reports.
  • Be willing to undertake training for specific and generalised processes within incident management system configuration as and when required to support the team.
  • Provide support to the Patient Safety Team Manager with patient safety related reports and data analysis.

  • Adhere to standards identified within the NHS Professional Codes of Conduct.
  • Maintain and develop professional knowledge and expertise in line with the needs of the role and Trust requirements.
  • Maintain compliance with statutory and mandatory training as required in the role.
  • Participate in personal objective setting, supervision and appraisals, including the creation and implementation of a personal development plan to enable successful performance in the role.

Person specification:

Qualifications:

  • European Computer Driving Licence (ECDL) or equivalent experience.

Knowledge & Experience:

  • Significant experience working in an administrative role.
  • Significant working knowledge of Microsoft Office packages.
  • Experience of working in the NHS.
  • Experience of working in a support environment.
  • Experience of Integrated Risk Management system e.g. Inphase/Datix.

Skills:

  • Ability to analyse data and provide written reports.
  • Effective IT skills in word processing and spreadsheets.
  • Excellent interpersonal and oral communication skills.
  • Ability to manage time and priorities effectively.
  • Ability to manage work autonomously.
