Commercial Property Manager

The Role

An experienced full-time property manager is required to work in our busy, proactive department managing a mixed portfolio of properties through proactive management of existing instructions and new business development.

As a regulated RICS company, we are required to adhere to professional standards and act in the public interest whilst maintaining the highest ethical, professional, and technical standards.

To succeed in your application, you will need;

  • Previous practical experience managing single and multi-let commercial property.
  • Experience and an understanding of lease structures and service charges.
  • Knowledge of Landlord and Tenant legislation and compliance.
  • The ability to build client relationships and have strong communication skills.
  • To be capable of prioritising their workload, confident decision making skills and delivering high standards of service.
  • Be IT literate, to use Microsoft and other cloud based applications
  • Ideally hold a property related degree but not essential.
  • Ideally hold membership of the RICS.
  • A full UK driving licence.

Key responsibilities

Portfolio and Client Management

  • Manage an allocated portfolio of commercial properties in accordance with client instructions, leases, management agreements and agreed reporting arrangements.
  • Review leases, tenancy schedules, service charge arrangements, contracts and compliance records for exiting property or new instruction and identifying priority actions.
  • Build effective working relationships with clients and their professional advisers, and their tenants, and maintain regular, proportionate communication.
  • Retain existing instructions and identify opportunities for new business.

Financial and Service Charge Management

  • Work with the client accounts team to oversee the collection of funds due under leases.
  • Monitor arrears, and provide clients with recommendations and options for escalation.
  • Prepare annual service charge budgets, apportionments and explanatory information.
  • Monitor expenditure against budget.
  • Coordinate year-end reconciliations, supporting information.

Property Inspections, Maintenance and Overseeing Contractors

  • Undertake regular property and tenancy inspections and follow up identified actions.
  • Monitor tenant compliance with repairing, use, alterations and other lease obligations.
  • Specify, tender and manage minor planned and reactive works.
  • Procure and manage maintenance, utility and service contracts.
  • Monitor contractor performance, competence, insurance and health and safety information.
  • Coordinate the management of vacant units, including security, utilities, inspections, compliance and repairs.
  • Oversee and manage the appointment of Building Surveyors, Planners and other professionals

Lease Administration and Professional Coordination

  • Oversee the lease-event diary and for rent reviews, lease expiries, break dates & licences etc.
  • Liaise with landlords and tenants, and the companies landlord and tenant and agency surveyors.
  • Agree routine commercial terms within delegated authorities and instruct and liaise with solicitors regarding leases, licences for alterations, rent deposit deeds and other property documentation.
  • Maintain appropriate records of instructions, recommendations and client Instructions.

Administration

  • Maintain and complete accurate property, tenancy, contact, financial, inspection and compliance information on the company’s cloud-based property management system.
  • Use Microsoft Office and other business systems competently to produce professional correspondence, reports, budgets and records.
  • Identify practical improvements to property management systems, controls and working procedures and assist with their implementation.
