Magnus Search are looking for a Director’s Assistant – Property Coordinator to join a fantastic company based in Exmouth. This amazing opportunity is a Full Time Permanent position offering a salary of £27,000 - £35,000, along with other benefits such as onsite parking.

This is a rewarding opportunity where you will play a key role in ensuring the portfolio of multi-let properties remains safe, compliant, and well-maintained, while also providing high-level administrative and organisational support.

As a Directors Assistant- Property Coordinator your responsibilities are:

  • To coordinate statutory compliance across properties, including gas, fire safety, health & safety and risk assessments
  • To schedule and manage inspections to ensure ongoing compliance
  • Liaising with tenants and contractors to organise and oversee repairs and maintenance
  • Support the smooth running and performance of a portfolio of multi-let properties
  • Provide comprehensive secretarial support to the Director
  • Manage the Director’s diary, meetings, and priorities effectively
  • Prepare reports, correspondence, and documentation as required
  • Maintain accurate filing systems (both digital and hard copy)
  • Manage office records such as staff holidays, key logs, and incoming post
  • Assist with general office administration and team support duties
  • Use property management software (training provided)

Requirements:

  • Highly organised with strong attention to detail
  • Professional, discreet, and able to handle confidential information with integrity
  • Excellent communication skills with a solutions-focused approach
  • Strong relationship management skills, particularly with tenants and contractors
  • Proficient in Microsoft Office / Microsoft 365
  • Good working knowledge of Excel, including basic formulas
  • Ability to multitask and manage competing priorities effectively

Desirable / Beneficial Experience:

  • Experience within a commercial property or property portfolio environment
  • Understanding of statutory compliance (fire safety, H&S, asbestos, gas, electrical, water hygiene)
  • Experience handling landlord and tenant matters, including contractual processes
  • Ability to coordinate contractors, tenders, and maintenance programmes
  • Commercial awareness and a proactive, problem-solving mindset
