Mendip Vale Medical Group are looking for a further Medical Secretary to join our team, as we expand in our friendly and innovative practices serving over 85,000 patients within our 10 sites in North Somerset, Bristol & South Gloucester. As a Secretary you will assist our clinical team and patients by providing high-quality administrative and secretarial support, ensuring that patient referrals are processed accurately and efficiently. Your professionalism and excellent communication skills will help ensure patients are directed to the most appropriate service or healthcare professional in a courteous and timely manner.
Main duties of the job
- Working as part of a team the post-holder will assist the clinical team with the processing of patient referrals so as they can access the appropriate service or healthcare professional in a courteous, efficient and effective way.
- Managing the expectations of patients, their carers or guardians, providing a high standard of patient focused service.
- The post holder will proactively communicate relevant information between patients and their healthcare professional.
The Secretary will develop good working relationships with:
- GPs
- Nurses
- Other surgery staff
Key Responsibilities:
- To support the clinical team in the delivery of safe and efficient responses to patient requirements.
- Typing and processing of referrals, dealing with queries in person, by telephone and electronically.
- Arranging of relevant appointments.
- Checking for tasks, completing where possible and passing other tasks to relevant person.
- Control all patient files and related admin to required quality standards and in line with information governance and DPA regulations.
- Maintain accurate records.

- The post-holder will pro-actively communicate relevant information between patients and their healthcare professional.
The successful candidate will be responsible for:
- Working in our secretary hub, being the first contact to our patient referral enquiries.
- Typing dictations and processing referrals through relevant pathways to ensure referrals are processed accurately and efficiently.
- Checking and completing tasks as appropriate.
- Controlling all patient files and related admin to required quality standards and in line with information governance, GDPR and DPA regulations.
- Maintaining accurate records.
Person Specification
- GCSE in English and Maths at Grade C or above, or equivalent experience.
- RSA Typing qualification or suitable typing skills.
- Evidence of continued learning/personal development in relevant field.
Experience
- Medical Terminology and coding experience.
- Experience of working within an NHS environment relevant to accurate recording of data.
- A good range of IT knowledge including Word, Excel, email and databases.
Skills and ability
- Ability to prioritise tasks and manage competing demands on time, ensuring all deadlines are met.
- Able to apply tact and sensitivity to establish trust and confidence.
- Good communication skills, able to communicate effectively across different levels.
