A leading multinational company in global entertainment is seeking an Administrative Support professional to manage schedules, coordinate travel, organize meetings and events, and handle expense reports. You will assist with office space management, track tasks, and ensure smooth communication within the team. Additionally, you will support leadership and help create a positive work environment by organizing team-building activities and fostering a collaborative atmosphere. This position is key to maintaining efficiency and organization within the team.

What You Will Do:

As an Administrative Support professional, you will manage schedules, arrange travel, organize meetings and events, handle expense reports, and assist with office space management. You will track tasks, support leadership, and help create a positive work environment through team activities and efficient communication.

Key Responsibilities:

  • Manage complex calendars and scheduling for teams in multiple locations
  • Handle domestic and international travel arrangements
  • Coordinate and submit expense reports
  • Organize team events (meetings, off-sites, social activities)
  • Track key tasks and follow up on pending items
  • Serve as a liaison for team members
  • Manage team space, including moves and setups
  • Collaborate with leadership, recruiters, and other assistants
  • Write and edit documents
  • Plan team-building activities to strengthen team culture
  • Foster a fun work environment

Day-to-Day:

  • Work closely with other Executive Assistants to support team activities and projects.

Requirements

Basic Qualifications:

  • Proficient in Microsoft Office
  • Experience as an Executive Assistant
  • Skilled in managing executive calendars
  • Experience with domestic and international travel coordination
  • Ability to handle tasks independently and keep the team informed
  • Experience with large global teams

Preferred Qualifications:

  • Experience leading process improvements
  • Experience in a fast-paced, high-tech environment
  • Ability to design efficient processes
