The Role
The Volunteer Coordinator will work as part of a small but busy Groups and Volunteer team at the Institute. You’ll work closely with the Senior Volunteer Engagement Officer, the People Engagement and Projects Manager, and the wider team to support volunteers and ensure that automated event processes run smoothly and efficiently. You’ll play a key role in supporting the delivery of activity across the institute’s regional, national and special interest groups, contributing to a positive and engaging experience for both volunteers and members.
Acting as a key point of contact, you will manage queries, support event administration and help maintain efficient systems and processes. A central part of the role is overseeing group event registrations through the institute’s website and CRM system. You will manage the end-to-end process, from reviewing submissions to ensuring events are set up correctly and ready for booking. You’ll monitor automated workflows, liaise with groups, and take a proactive approach to resolving any issues that arise, working with the IT team where needed. You will also support the delivery of group communications, including coordinating and sending newsletters using Mailchimp, and tracking performance metrics such as open rates to inform improvements.
Key Objectives of Role
- Maintain and monitor online group event processes to ensure a smooth experience for groups and delegates
- Act as the first point of contact for group event queries and related communications
- Maintain regular contact with groups to support effective administration
- Manage the volunteer support inbox and ensure timely responses
- Coordinate and deliver group newsletters
Essential
- Strong organisational and administrative skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office, particularly Excel and PowerPoint
- Ability to manage multiple priorities with attention to detail
- Confidence working both independently and as part of a team
- Experience working with systems or databases, including running queries and reporting (e.g. CRM platforms)
- A proactive approach to problem-solving
- Strong relationship-building skills with a range of stakeholders
Desirable
- Experience using CRM systems such as iMIS
- Experience with email marketing platforms such as Mailchimp
- Experience working with volunteers or membership organisations
- Experience updating website content
- Familiarity with social media platforms
