Temporary Administrator
Home Based
Part time - Monday-Thursday working 10am - 3pm or 9.30am - 2.30pm (can be flexible on working patterns)
Starting 1st October - until December 2025
Interviews: Friday 26th September
Our client, is currently recruiting for a temporary Administrator, who can provide agile and flexible administrative support to the team, particularly in managing the additional workload arising from an ongoing independent review project. This role will allow the team to concentrate on their expertise in workforce planning, the acuity app, and review activities, while ensuring smooth coordination and efficient handling of administrative tasks.
Key Responsibilities
Diary & Calendar Management
- Coordinate and manage diaries for the team ( 4 people)
- Schedule and confirm meetings (internal and external) via Microsoft Teams.
Meeting Support
- Prepare and circulate agendas and follow-up actions.
- Support virtual and hybrid meeting set-up and logistics.
Document & Data Handling
- Summarise meeting output and documents using tools such as MS Co-Pilot, ChatGPT, or similar.
- Assist with version control and filing of documentation.
- Upload, update, and maintain data ensuring accuracy and accessibility.
Communication Support
- Draft and format correspondence, and updates.
- Liaise with internal and external stakeholders as directed by Executive Officer
- Support the flow of information between the team
General Administrative Support
- Provide responsive and flexible assistance as new tasks arise during the review process.
- Ensure administrative systems are efficient and kept up to date.
Skills & Attributes
- Strong organisational skills with attention to detail.
- Proficiency in Microsoft Office Suite (Outlook, Teams, Excel, Word, PowerPoint).
- Proficiency in the use of SharePoint
- Ability to use AI-powered tools for document handling and summarisation.
- Excellent communication skills (written and verbal).
- Ability to adapt quickly to changing priorities and support multiple team members.
- Discretion and professionalism when handling sensitive data and information.
