We are looking for a proactive, highly organised VAR (Vehicle At Risk) Coordinator to join our fast-paced CDR team. This role follows a staggered shift pattern, with early and late shifts designed to ensure full coverage of our 6:00 AM - 6:00 PM phone line and operational responsibilities.
As a VAR Coordinator, you will take the lead on managing Vehicle At Risk cases, working closely with internal teams, repair partners, and customers to prevent delays, resolve issues, and maintain high service standards. You will also play a key role in customer communication, repair oversight, and managing inbound calls related to vehicle deliveries.
Key Responsibilities:
- Primary Focus - VAR (Vehicle At Risk) Case Management
- Monitor and manage Open Box cases
- Liaise with third-party partners
- Follow up on G2Gs and aborted deliveries
- Coordinate actions with BCAL and the Logistics team
- Provide daily progress updates by:
- Chasing workshops and partners for repair statuses
- Maintaining accurate trackers (Evo, Zendesk, workshop spreadsheet)
- Communicating updates to customers promptly
- Present active case statuses
- Raise any blockers or risks to delivery timelines
- Manage warranty collections and returns:
- Confirm fault reports and eligibility
- Schedule drivers and prepare job cards
- Inspect vehicles post-repair and coordinate returns
- Compile and submit repair reports
- Keep internal systems and documentation updated
- Handle inbound calls for delivery and vehicle-related queries
- Support with RO (repair order) enquiries and vehicle transfer requests
- Deliver clear, professional communication to customers at all times
What We Are Looking For:
- Proven ability to manage fast-moving operational tasks
- Strong written and verbal communication skills
- Excellent attention to detail and a sense of ownership
- Proficiency in Excel and internal tracking systems
- Experience in customer service, logistics, or automotive operations is highly desirable
