Mission

As a Groups & Events Sales Executive, you will support the successful conversion, planning and delivery of groups and events, ensuring every booking is managed efficiently from confirmation through to post-event follow-up. You will act as a key point of contact for clients and internal teams, coordinating all operational requirements while maximising guest satisfaction, repeat business and revenue opportunities for the hotel.

Key Responsibilities – Groups & Events Excellence

  • Manage confirmed group and event bookings from contract stage through to departure, ensuring all details are accurately planned and communicated.
  • Coordinate pre-event logistics, including contracts, deposits, billing requirements, accommodation arrangements and event documentation.
  • Liaise closely with all relevant hotel departments to ensure events are delivered smoothly and client requirements fully understood.
  • Prepare and distribute BEO batches, weekly event summaries, conference and banqueting reports and other operational documentation.
  • Ensure all bookings and relevant information are accurately maintained in SAP and internal systems within required timescales.
  • Support the Groups & Events Manager and Sales Coordinator with the allocation, organisation and smooth running of confirmed business.
  • Conduct hotel and facilities showrounds for new and existing clients, showcasing the hotel’s meeting, conference and event spaces.
  • Identify opportunities to upsell Food & Beverage, meeting spaces and additional hotel services, while securing profitable terms for the hotel.
  • Meet and greet delegates and remain closely involved during events, responding promptly and professionally to operational requirements or client concerns.
  • Follow up with clients after events, gathering feedback, addressing any outstanding matters and identifying opportunities for repeat business.
  • Work closely with the Credit Controller and relevant departments to ensure deposits, credit applications and billing requirements are managed correctly.
  • Maintain accurate and professional group files and ensure all client correspondence and event information is recorded appropriately.

What we’re looking for?

  • Experience: Previous experience in Groups & Events, Conference & Banqueting, Sales or a similar hotel environment is desirable.
  • Organisation: Strong organisational and planning skills, with the ability to manage multiple bookings, deadlines and operational requirements simultaneously.
  • Communication: Excellent communication and interpersonal skills, with confidence dealing with clients, delegates and internal departments.
  • Customer Focus: A genuine passion for delivering excellent service and creating positive client experiences.
  • Commercial Awareness: Ability to identify upselling opportunities and balance customer requirements with the commercial interests of the hotel.
  • Problem Solving: Proactive and practical approach to handling operational challenges, complaints and changing client requirements.
  • Attention to Detail: Strong attention to detail when managing contracts, event documentation, billing instructions, deposits and booking information.
  • Systems: Good IT skills and confidence working with hotel systems; experience with SAP is advantageous.
  • Teamwork: Ability to work collaboratively with Sales, Food & Beverage, Operations, Finance and other hotel departments.
  • Flexibility: A positive and adaptable approach, with the ability to respond to the changing requirements of a busy Groups & Events operation.
