Groups & Events Coordinator Mission: Responsible for maximizing profits in all hotel areas through the planning and coordination of groups and planning of events in the hotel, assisting meeting planners or customers directly and ensuring that quality and service standards exceed customer expectations at all times.

Responsibilities will include, but are not limited to:

  • Group Coordination: Serve as the main contact for groups after the contract is signed, ensuring seamless communication between the group and the hotel.
  • Pricing & Contracting for Events: Prepare pricing quotes for all group requests related to social events. Handle the entire contract and planning process for short-lead inquiries (those with arrival dates within 14 days of the inquiry). Aim to maximize revenue from food, beverages, meeting rooms, and other hotel services. Draft and finalize service contracts once services are confirmed.
  • Pre-Convention Meetings: Organize and lead pre-convention (pre-con) meetings to establish strong connections between department heads and the group’s meeting planner.
  • Payment Management: Track and manage deposits and payments according to contract terms, keeping the pro-forma invoice updated and sending it to the client as needed.
  • Site Inspections & Group Support: When requested by the Hotel Manager, participate in site inspections and support the group and sales departments. This is especially important for inspections that require in-depth technical knowledge of hotel facilities.
  • Handover from Sales: Receive the group file from the Group Sales Executive, review the contract, program details, and any blocked rooms. Collaborate with the Group Sales Coordinator to contact the client, introduce yourself as their new point of contact for planning and group stay logistics, and confirm all contracted services. A detailed handover document from the Group Sales Executive will also be provided to ensure a smooth transition.

What we are looking for?

  • Experience within a sales role, preferable hotel background.
  • Experience in working to budgets and KPI's.
  • Sales conversion experience.
  • Knowledge on meeting and event set ups, proposals, enquiry quotes etc.
  • Knowledge of PMS Opera Cloud (not essential).
  • Excellent personal presentation.
  • Fluent in English. Additional Spanish would be preferable.

The successful candidate must already have eligibility to work in the UK.
