Overview

This is a full-time on-site position offering opportunities for career growth. Mega Nursing & Care is a nurse-led home care provider operating across multiple UK regions. Responsibilities

  • Care Management System (CM2000): perform daily data maintenance across branches, resolve missed bookings, missed tasks, late arrivals, and remove shadowing entries; monitor compliance against the 90% threshold by pulling and reviewing CM2000 reports daily; raise and manage system issues via the CM2000 support portal; arrange data unlocks to ensure missed client submissions are captured.
  • Invoicing Process: monthly CM2000 invoicing for Gloucestershire and Central Bedfordshire, including data cleaning and submission via Finance Manager; manage monthly Bedford Borough Council invoicing through the council portal, liaising with the clinical team to capture mid-month changes; process weekly Oxfordshire County Council visit submissions, upload invoices to Xero, and reconcile against remittances received; upload invoices to Xero across applicable contracts and complete reconciliations. Liaise with local authority contacts across Gloucestershire, Bedfordshire, Central Bedfordshire, and Oxfordshire to resolve invoicing queries.
  • Payroll Support: calculate biweekly on-call payroll figures for Gloucestershire and Bedfordshire, submitting to the relevant payroll contacts; calculate CM deductions for length-of-stay adjustments on a biweekly payroll cycle; notify the payroll team of new starters on each payroll run.
  • Compliance & Reporting: produce the monthly CM Compliance Tracker for Gloucestershire (monitor punctuality and carer tagging compliance using the points-based system) for use in appraisals; produce the weekly ELFT hours report and summary for the Rapid Response service; complete ad-hoc reconciliation reports to confirm all clients have been invoiced correctly; maintain the Balmoral annual leave entitlement tracker as directed.
  • Finance & Operational Meetings: attend and contribute to regular reconciliation finance meetings with the finance and operations teams; support the broader operations team with ad-hoc data analysis tasks as directed by management.
  • Branch Liaison: maintain active communication with Gloucestershire, Bedfordshire, and Hertfordshire branch teams regarding lateness, cancellations, and any changes affecting data accuracy or invoicing; support and prompt the Hertfordshire branch to ensure their daily CM maintenance is completed consistently.

Person Specification

Essential:

  • Demonstrable experience in a data, operations, or finance administration role
  • High proficiency in Microsoft Excel and experience working with large datasets
  • Strong numerical accuracy with experience in invoicing, payroll, or financial reconciliation
  • Excellent organisational skills with the ability to manage multiple recurring deadlines simultaneously
  • Confident communicator, comfortable liaising with external local authority contacts and internal teams
  • Experience using care management or scheduling systems (e.g. CM2000 or similar)
  • Ability to work independently and take ownership of tasks with minimal supervision

Desirable:

  • Experience of working within a CQC-regulated health or social care environment
  • Familiarity with Xero or equivalent accounting software
  • Experience of local authority invoicing or council portal submissions
  • Understanding of domiciliary care operations and payroll structures
