A fixed term contract to 31st October 2027 at The Children's Trust, Tadworth. The role involves providing high-quality support for placement, admission, and discharge processes for children.

Responsibilities:

  • Circulate enquiries/referrals, coordinate assessments, gather information from internal and external counterparts, format and circulate Referral Screening Reports with the Referral Manager.
  • Coordinate admission planning tasks including arranging parental accommodation, preparing welcome letters and parental agreements, informing reception, and updating relevant spreadsheets.
  • Draft and circulate pre-admission commissioning paperwork such as ICB letters and funding applications.
  • Maintain external liaison with parents, referrers, and funders throughout the pre-admission process.
  • Support in-person and virtual tours for children and their families directed by Placement Managers.
  • Provide cross cover to main aspects of Placement Manager or Referral Manager roles short-term when required.
  • Take minutes of meetings, including complex discharge/transition planning meetings, and distribute minutes promptly.
  • Coordinate children placement reports, chase completion, format and circulate in liaison with Placement Managers/Senior Placement Managers.

Required qualifications and experience:

  • Experience in administrative support within a clinical or educational setting.
  • Strong organisational skills and the ability to manage multiple stakeholder relationships effectively.
  • Proficiency in record-keeping systems and understanding of billing and debtors’ management is preferred.
