We’re partnering with a high‑performing, purpose‑led life sciences organisation to recruit an experienced and emotionally intelligent Executive Assistant. This is an exciting and impactful role supporting two key senior leaders — the Chief Scientific Officer (CSO) and Chief Business Officer (CBO) — both of whom play a critical part in delivering the organisation’s mission. You’ll act as a trusted partner, managing their day‑to‑day operations and enabling them to focus on strategic priorities. The environment is fast‑paced and collaborative, where professionalism, adaptability, and strong interpersonal skills are key. The role will suit someone who thrives on challenge, enjoys working at pace, and takes pride in providing high‑level support that makes a tangible difference.
Key Responsibilities
- Provide proactive, forward‑thinking diary and inbox management for two senior executives with complex and evolving schedules.
- Coordinate domestic and international travel (flights, accommodation, visas, logistics) and handle related expenses and purchase orders using internal systems.
- Prepare and distribute agendas, briefing papers, presentations, and board packs, ensuring accuracy and attention to detail.
- Support Board, Audit, Risk, and Senior Leadership meetings, including minute‑taking and action tracking.
- Organise and manage internal events, workshops, and offsites, from planning through to delivery.
- Build and maintain effective working relationships with Board members, senior leadership, and external stakeholders.
- Ensure smooth communication flow across teams, acting as a central point of coordination for two different leadership styles.
- Handle confidential and sensitive information with discretion, diplomacy, and professionalism.
- Provide administrative oversight for key operational processes, including procurement, compliance, and internal communications.
- Occasionally travel to another UK site (Stevenage) as required to support in‑person meetings or leadership activities.
About You
- We’re looking for a professional, polished Executive Assistant who can confidently support senior leaders in a mission‑led, high‑performing environment.
- Significant experience supporting C‑suite executives, ideally within life sciences, biotech, pharma, or not‑for‑profit scientific settings.
- A proven track record in complex diary management, event coordination, and board‑level support.
- High emotional intelligence and ability to adapt to different personalities.
- Excellent written and verbal communication skills, with strong attention to detail.
- Proficiency across Microsoft Office, particularly PowerPoint, Word, and Excel.
- A proactive, calm, and solutions‑focused approach to managing competing priorities.
- Strong organisational skills with a genuine passion for creating order, structure, and efficiency.
- Immediate or short notice availability.
Why Join?
You’ll be joining a forward‑thinking organisation that combines the innovation of a biotech with the purpose of a not‑for‑profit. Their work directly impacts patients living with rare and underserved diseases — making it one of the most meaningful environments to be part of. The culture is collaborative, respectful, and fast‑moving. You’ll be surrounded by people who are passionate about what they do, and proud of the impact their work creates. Employee feedback reflects this — the team consistently scores among the highest for engagement and pride in the mission. This is a fantastic opportunity for an experienced EA who enjoys working in a dynamic, purpose‑driven environment, supporting inspiring leaders and making a difference through operational excellence.
