Reporting to: PA to the Founder

Location: Head Office, White City Place, West London

Contract Type: Full time, 37.5 hours per week

About the Role: As an experienced EA with solid experience supporting more than 3 principals, you will provide proactive administrative and operational support to three members of the Management Team. You will be on hand for ad hoc requests and tasks for the wider members of the Management Team.

Job Responsibilities:

  • Provide administrative support to three Management Team members
  • Complex diary management with ever-changing schedules
  • Arrange travel, including hotel, flight and transfer bookings, working within the business’ policy and budget
  • Support with preparation for meetings including printing presentations when needed
  • Acting as the first point of contact for MT queries and requests
  • Ad hoc support to the wider MT who are not in need of proactive / continuous assistance
  • Keeping organised and detailed records of all receipts on behalf of the MT where necessary and if required for the purpose of expenses
  • Arrange meeting rooms and catering
  • Liaising with Production Director on Production Calendar and Critical Path
  • Arrange catering for Product meeting weeks
  • Working closely and collaboratively with the PA to the Founder & CEO, the EA COO, CCO and Retail & Customer Experience Director and the Senior Strategy Manager
  • Deputising for the EA to the COO, CCO and Retail & Customer Experience Director in her absence
  • Working with the Team EA

Skills:

  • Solid experience in a similar team EA role supporting 2 or more principals
  • Trustworthiness, maintaining discretion at all times
  • Exceptional interpersonal, communication and time management skills
  • Flexible, adaptable, agile and resilient
  • The ability to work successfully both autonomously and as part of a team
  • Experience of working in a fast-paced office environment
  • Proficient in Microsoft Word, PowerPoint and Outlook
