Medway Council Landlord Services owns and manages around 3000 homes in the Medway area. We aim to provide excellent services to tenants. We are a high performing customer focussed service. Our performance is excellent when compared with other similar housing organisations.

We are currently recruiting for a Tenancy Management Assistant on a permanent contract to work within the busy Tenancy Team. We are looking for an experienced, dynamic, and highly motivated person with housing management experience to join our Tenancy Team and provide excellent customer service.

Main Duties Include:

  • Manage the Council's garage stock – including managing the waiting list, allocation, lettings of garage tenancies and inspections of garages.
  • Manage the Mutual Exchange process from the application stage to arranging the sign‑up for the Tenancy Management Officer.
  • Receive and respond to telephone calls on the Tenant Services duty line, lead on monitoring the generic team inbox and answer general enquiries or signpost emails to the correct sections within the Council.
  • Provide admin support to the Tenancy Management Team including bulk emails, mail-outs, and bulk text message campaigns.
  • Manage the Tenancy Team’s void process responsibilities daily to keep all information current – assisting the Tenancy Management Officer to ensure vacancies are tenanted quickly to minimise void rent loss. This includes preparing sign‑up documents, updating the Housing Management System after sign‑ups and uploading CORE forms.
  • Monitor and maintain the gas no‑access list and complete administrative tasks for the preparation of letters and paperwork for court.
  • Assist the Tenancy Management Officer in completing Estate Inspection paperwork and any follow‑up correspondence.
  • Maintain good record‑keeping on the Housing Management System and keep the Team’s scanning up to date.

You must be able to demonstrate:

  • Experience of working in a social housing management environment, ideally within a local authority setting.
  • Great customer service skills.
  • A basic knowledge of tenancy management law and good practice.
  • A current driving licence and daily access to a vehicle.
  • A commitment to teamwork and to delivering excellent customer service.
  • Ability to prioritise and manage your own workload and meet competing deadlines.

We are seeking a Tenancy Management Assistant to join the team at level B. This level attracts a salary at the mid‑point of the range. You will have related experience and be able to demonstrate applied and developed knowledge, experience and skills to be effective in this role. All elements of level A and B listed within the person specification are essential.

You will be supported to develop in your role through induction, probation and a supportive Performance Appraisal and Career Conversation. Through induction you will be introduced to the Career Progression Framework (CPF), which will help you identify your strengths and development needs.
