Position

We are looking for 4 × part‑time receptionists to work from our new site in Chatham, working various shifts including a Saturday to join our friendly busy team.

Responsibilities

  • First point of contact for our clinics welcoming patients.
  • Booking appointments and undertaking a variety of front‑desk activities.
  • Answering incoming calls and redirecting where necessary.
  • Franking post and general admin duties.
  • Perform lone working once trained.
  • Support new staff training.
  • Use of the booking system (Emis/Rio/Swiftqueue) to manage patient arrivals.
  • Put stock away and receive stock items.
  • Provide non‑clinical advice and information to patients, carers, relatives or staff either face‑to‑face, over the telephone or by other means.
  • Manage stock, office stationery and occasionally handle petty cash and patient valuables.
  • Act as a buddy for new or less experienced employees such as apprentices or volunteers.
  • Accurately enter data and process information using appropriate IT systems.
  • Occasionally take notes and manage information either electronic or paper based.
  • Undertake surveys and audits when requested in own area of work.
  • Ensure that organisational policies and procedures (including amendments and updates) are adhered to and implemented in own area of work.
  • Plan and organise own workload without direct supervision, reporting regularly to the line manager on key tasks and guided by defined policies and procedures.
  • Meet physical effort requirements such as moving equipment or long periods of driving or inputting at a keyboard.
  • Respond to mental and emotional effort demands arising from complex or sensitive enquiries.
  • Deal with demands arising from adverse environmental conditions such as inclement weather, extreme heat/cold, smells, noise and fumes, and hazards.

Qualifications

  • GCSE / O Levels or 1 year’s experience of office procedures / customer care.
  • NVQ 2 in Business Administration / Customer Care or equivalent.
  • RSA 2 or equivalent.
  • ECDL or equivalent knowledge of IT applications.
  • Excellent communication and customer care skills.
  • Ability to deal with internal and external enquiries and complex, sensitive or confidential enquiries from patients, staff and the public.
  • Strong analytical and judgement skills, prioritising workload and deciding when to escalate.
  • Planning and organisational skills to organise and prioritise own day‑to‑day work, schedule meetings/book meeting rooms and produce effective systems for efficient service operation.
  • Keyboard skills and working for periods of time on a computer.
  • Self‑motivated, enthusiastic, able to multitask, and able to develop skills in a friendly and supportive team.

Shift Options

  • Monday–Wednesday 7:00–12:30 or 12:00–18:00
  • Wednesday–Saturday 7:00–12:30 or 12:00–18:00 (Saturday enhanced pay)
