The Opportunity

As a Medical Secretary, you will play a vital role in supporting our consultant clients and ensuring patients receive an excellent experience throughout their healthcare journey.

Working closely with a dedicated Patient Administrator, you'll become a trusted extension of your clients' practices, managing appointments, handling patient enquiries, coordinating clinic schedules, and ensuring day-to-day operations run smoothly.

  • What You'll Be Doing
  • Managing a high volume of incoming calls from patients, consultants, hospital staff, and secretaries
  • Scheduling and coordinating consultant clinics
  • Processing medical dictation and correspondence
  • Managing patient and client enquiries efficiently and professionally
  • Taking payments and supporting billing-related enquiries
  • Uploading and maintaining accurate patient information within our Practice Management system
  • Handling internal and external email communications
  • Building strong relationships with consultants and ensuring exceptional client service
  • Participating in weekly team meetings and continuous improvement initiatives
  • Supporting the onboarding and training of new team members when required
  • Assisting with additional projects and administrative tasks as the business grows

What We're Looking For

Experience in an administrative, coordination, customer service, or office-based role is essential, but previous Medical Secretary experience is not.

We'll provide the training and support you need to succeed.

Essential Requirements

  • Experience working in an administrative, customer service, reception, coordination, call handling, or office-based role
  • Strong organisational skills, including managing tasks, priorities, deadlines, records, or appointments
  • Strong attention to detail, including accurate data entry, document handling, record keeping, or written communication
  • Strong written and verbal communication skills
  • Experience communicating professionally with customers, clients, patients, colleagues, managers, suppliers, or other stakeholders
  • Experience handling telephone calls, emails, inboxes, or customer enquiries
  • Strong customer service skills, with the ability to remain professional, helpful and calm when dealing with enquiries
  • Experience using Microsoft Office applications, particularly Outlook, Word and Excel
  • Ability to manage multiple tasks and priorities in a busy or fast-paced working environment
  • Ability to work independently and as part of a team
  • Ability to handle confidential or sensitive information appropriately

Desirable Requirements

  • Previous experience as a Medical Secretary, Healthcare Administrator, Patient Administrator, Clinic Coordinator, Receptionist, or similar healthcare support role
  • Experience working in a healthcare, medical, hospital, clinic, GP practice, private healthcare, or patient-facing environment
  • Experience managing diaries, clinic schedules, appointments, bookings, rotas, or scheduling systems
  • Experience using practice management systems, patient administration systems, CRM systems, booking systems, or scheduling systems
  • Experience processing payments, invoices, billing enquiries, or financial administration
  • Experience supporting onboarding, training, mentoring, or buddying of colleagues
  • Understanding of private healthcare pathways, patient journeys, clinic administration, or consultant support processes
