Medneo is seeking a highly capable, experienced and trusted Senior Executive Assistant to provide comprehensive, high-level support to the CEO and CFO, while also acting as a key enabler for the wider Executive Leadership and Management Teams. This is a Senior EA role requiring exceptional organisational ability, sound judgement, discretion and the confidence to operate effectively at executive and board level. You are an experienced Senior Executive Assistant who:
- Has advanced organisational skills with forensic attention to detail
- Operates confidently at CEO and CFO level, with proven exposure to Boards, Chairs and senior external stakeholders
- Brings demonstrable Board‑level experience, including board papers, minute‑taking, action tracking and follow‑through
- Is trusted with sensitive, confidential and commercially critical information
- Naturally spins plates, juggles priorities and stays composed under pressure
- Thinks three steps ahead, solving problems before they reach the executive agenda
- Enjoys autonomy, accountability and being deeply trusted
- Thrives in an SME environment where structure is evolving and you help build it
- Delivers exceptional diary management across multiple senior stakeholders
- Communicates with clarity, confidence and impact – written and verbal
- Works comfortably across senior leaders, teams and external partners
- Is highly proficient in Microsoft Office and modern collaboration tools
- Experience in healthcare, regulated environments, bids/tenders or corporate transactions is advantageous, but not essential.
What you’ll be doing:
As Senior Executive Assistant at medneo UK, you will be a critical enabler of the CEO, CFO and Executive Leadership Team. You will sit at the heart of the business, ensuring leaders are prepared, informed, organised and able to operate at their best.
Executive & Diary Management:
- Own and manage complex, fast‑moving diaries for the CEO and CFO
- Proactively identify clashes, dependencies and priority conflicts
- Apply structure, colour‑coding and forward planning to enable effective decision‑making
- Coordinate domestic and international travel, accommodation and itineraries
- Manage and submit executive expenses accurately and on time
Executive Communications:
- Act as a professional, trusted first point of contact internally and externally
- Draft, coordinate and respond to correspondence on behalf of executives where appropriate
- Enable clear, effective communication between the Executive Team and the wider organisation
Meetings, Governance & Secretariat:
- Prepare, collate and distribute high‑quality briefing papers and meeting packs
- Support Executive, Management, Board and key stakeholder meetings
- Take accurate minutes and track actions, including sensitive discussions
- Coordinate agendas, attendees, logistics, rooms and video conferencing
- Provide EA support to members of the Executive Leadership and Management Teams as required
- Act as a key internal service provider, ensuring responsive and high‑quality support
- Enable effective cross‑functional coordination and information flow
Projects, Research & Business Support:
- Provide research, analysis and project support across multiple workstreams
- Coordinate documentation for bids, tenders, proposals and contract renewals
- Manage portals, messaging, document uploads and deadline tracking
- Support data rooms, document management and due diligence processes
- Collate management information, reports and KPIs
Operational & Administrative Support:
- Coordinate Head Office facilities and meeting spaces
- Support corporate travel systems and administration
- Assist with finance‑related administration (POs, expenses, holidays, cover)
- Maintain organisational charts, holiday and sickness records
- Ensure documents are stored accurately, securely and with appropriate access control
Events, Engagement & Marketing Support:
- Organise executive dinners, events, roadshows and awards
- Support internal and external conferences
- Liaise with suppliers, venues and external partners
- Assist with internal communications and announcements
