Remote role (1 day in office) – near Northampton, Northamptonshire

About the Role

Working closely with the Treasurer and Director of Operations, the Finance & Administration Officer will play a key role in maintaining the Society’s financial records, supporting reporting processes, reconciling accounts, and ensuring compliance with financial procedures and regulatory requirements. The successful candidate will support operational financial management across multiple areas of the organisation, including membership income, regional groups, conferences, accreditation schemes, and commercial activity.

Key Responsibilities

  • Financial Administration
    • Maintain accurate financial records across all transactions, invoices, payments, and reconciliations
    • Process supplier invoices, purchase invoices, and expense claims
    • Manage charge card reconciliations and investigate discrepancies
    • Maintain deferred income schedules and financial journals
    • Administer voucher, prize, and gifted place schedules
    • Support payroll administration and related reporting
  • Financial Reporting & Reconciliation
    • Prepare financial reports for the Treasurer and Director of Operations
    • Reconcile bank accounts, payment platforms, and company financial records
    • Monitor cashflow and outstanding debtors
    • Assist with budgeting, forecasting, and financial planning activities
    • Maintain accurate financial data within Sage and associated systems
  • Compliance & Audit Support
    • Support VAT, payroll, and tax reporting processes alongside accountants
    • Liaise with HMRC where required
    • Assist with internal and external audit preparation
    • Ensure financial procedures and records remain compliant and up to date
  • Organisational & Operational Support
    • Produce financial reports for the society’s Regional Groups
    • Support financial administration relating to Dental Health journal activity and the Oral Health Conference
    • Maintain investment schedules and fixed asset records
    • Coordinate financial document retention and digital file management
    • Support internal control reviews and process improvements
  • Stakeholder Collaboration
    • Work closely with the Treasurer, Director of Operations, accountants, and Regional Group Treasurers
    • Provide operational and financial insights ahead of meetings and decision-making discussions
    • Respond to finance-related queries professionally and efficiently

About You

We are looking for a proactive and dependable finance professional with strong administrative and organisational skills.

Essential Skills & Experience

  • Previous experience in finance administration, bookkeeping, or accounting support
  • Strong reconciliation and transactional processing experience
  • Excellent attention to detail and accuracy
  • Experience using Sage or similar accounting software
  • Strong organisational and time management skills
  • Ability to manage confidential financial information professionally
  • Good communication and stakeholder management skills
  • Ability to work independently and collaboratively

Desirable

  • Experience working within a membership organisation, charity, or professional body
  • Knowledge of VAT, payroll, and HMRC processes
  • Experience supporting audits and financial reporting
  • Familiarity with governance-led organisations
  • Understanding of event or conference financial administration
