Our client, a well-established professional services firm, is seeking an experienced Tax & Estate Planning Team PA to provide high-quality secretarial and personal assistant support to senior fee earners within a specialist tax and estate planning team.
The role
This position plays a key part in ensuring the smooth day-to-day running of the team by delivering efficient, accurate and proactive administrative support. The successful candidate will be highly organised, client-focused and comfortable managing multiple priorities in a fast-paced environment.
Key responsibilities
- Providing comprehensive PA and secretarial support to fee earners, including effective diary and task management to ensure deadlines and key dates are met.
- Producing a wide range of documentation using digital dictation and case management systems, ensuring all work is accurately prepared, formatted and proofread.
- Creating, amending and finalising documents in line with internal style guidelines, including managing tracked changes, numbering, tables and document comparisons.
- Opening and maintaining client files, matters and contacts on the firm’s case management system, ensuring data accuracy and compliance with internal procedures and data protection requirements.
- Acting as a point of contact for clients and internal stakeholders, handling calls and emails in a professional and courteous manner.
- Coordinating meetings, including room bookings, refreshments, travel and accommodation arrangements where required.
- Preparing correspondence and documentation for review and signature, ensuring all enclosures are correctly assembled.
- Attending team meetings and producing clear and accurate minutes.
- Managing day-to-day file administration, including billing support, file opening and closing, archiving and general record keeping.
- Maintaining electronic filing systems and ensuring documents are appropriately stored and accessible.
- Supporting and overseeing administrative team members within the department as required.
- Working collaboratively across the wider team to ensure work is delivered efficiently and to a high standard.
- Adhering at all times to relevant legal, regulatory and internal compliance requirements, including confidentiality and professional conduct standards.

- Strong organisational skills with exceptional attention to detail.
- A proactive and collaborative approach, with the ability to work effectively as part of a team.
- Previous experience using a legal or professional services case management system.
- Advanced Microsoft Word skills, including complex formatting and document management.
- Audio typing experience or qualification.
- Professional presentation and a confident, helpful manner.
