Our client, a respected organisation, is seeking an organised and proactive individual to support their team with a range of administrative responsibilities. This pivotal role ensures the smooth operation of key processes and provides essential support to Fee Earners and the wider team.
Key responsibilities include:
Efficient file management : Overseeing the administration of files (both hard copy and on SOS), including matter opening, closing, archiving, and ensuring accurate data updates throughout the lifecycle of a matter.
Document preparation : Producing and filing documents, as well as handling copies, scans, and case bundles in line with case requirements.
Departmental finances : Reviewing financial reports, liaising with clients regarding fee payments, managing the billing process, and collaborating with the Finance team.
Regulatory compliance : Ensuring files adhere to relevant regulatory standards and internal Office Manual processes.
Correspondence and communication : Drafting and issuing emails and letters upon instruction/dictation from Fee Earners, as well as handling incoming calls for the team, ensuring accurate and timely message delivery.
Diary and meeting management : Organising team events, meetings, and 1:1s, including liaising with external parties, booking meeting rooms, and preparing necessary materials.
Team support : Providing all-around assistance to the Southport branch, supporting Fee Earners, and training new administrators when required.
Operational liaison : Coordinating with other departments to resolve IT, equipment, and other operational issues as needed.
