THE ROLE
We're looking for a highly organised Supply Chain Coordinator to join our team at a pivotal moment in the business's growth. This is a hands-on operational role at the heart of the business. You will own the day-to-day execution of purchasing and logistics activity - raising and tracking purchase orders, coordinating with suppliers, managing inbound deliveries, and ensuring our ERP system reflects accurate stock and pricing at all times. You'll report directly to our Supply Chain Manager and work closely with sales, marketing, and finance.
KEY RESPONSIBILITIES
- Purchase Order Management
- Raise, track and close purchase orders across all Mediworld suppliers using the ERP system
- Ensure all POs are accurate, authorised, and issued in a timely manner
- Monitor open POs and proactively chase suppliers for confirmations, dispatch notifications, and tracking details
- Flag delays, shortages, or discrepancies to the Supply Chain Manager without waiting to be asked
- Supplier Communication
- Serve as the primary day-to-day contact for suppliers on all active order queries
- Chase outstanding deliveries, resolve invoice disputes, and escalate persistent issues
- Maintain a clear, up-to-date log of all open supplier communications and order statuses
- Inbound Logistics & Delivery Coordination
- Coordinate inbound deliveries with the warehouse and third-party logistics partners
- Manage freight bookings - obtaining quotes, selecting carriers, and preparing documentation
- Prepare and maintain import/export paperwork: Certificates of Origin, customs declarations, and compliance documents
- Track inbound shipments and keep internal stakeholders informed of ETAs and delays
- ERP & Data Accuracy
- Maintain accurate item card records: cost prices, tariff codes, product descriptions, supplier lead times, and contact details
- Reconcile purchase invoices against POs and delivery notes; flag discrepancies promptly
- Support finance by ensuring supplier invoices are processed and matched correctly
- Inventory Control
- Monitor stock levels across key product lines and trigger re-orders at agreed thresholds
- Work with the Supply Chain Manager to prevent stockouts and avoid overstocking
- Identify and flag discrepancies between physical stock counts and system records
- Compliance & Documentation
- Maintain an organised filing system for all procurement documentation: supplier contracts, product certifications, customs paperwork, and PO archives
- Ensure all documentation is current and accessible for audit, customer requests, or regulatory review
WHAT WE'RE LOOKING FOR
- Essential:
- 1–3 years in a purchasing, procurement, or logistics coordinator role
- Experience using an ERP system
- Confident with Microsoft Office, particularly Excel
- Strong written and verbal communication with suppliers and internal teams
- Highly organised with meticulous attention to detail
- Able to manage multiple open tasks and reprioritise under pressure
- Comfortable chasing and escalating without being prompted
- Proactive, reliable, and process-driven
- Desirable:
- Background in medical supplies, healthcare, FMCG, or distribution
- Willingness to develop knowledge of medical product categories over time
