The Secretariat Officer is a hybrid role based in Letchworth. Part time or full time considered with a combination of office and home working. The role involves providing comprehensive secretariat and administrative support to the board, committees, and subcommittees, including preparing agendas, taking minutes, managing follow-up actions, and maintaining accurate records. The Secretariat Officer will coordinate correspondence with trustees, volunteers, and other stakeholders, ensuring timely and professional communication. Day-to-day tasks include managing schedules and meetings, organising documents and databases, and handling inquiries (phone, email, and in person). The role also involves maintaining compliance documentation, assisting with reports and presentations, and helping to streamline office processes to ensure efficient and effective operations.
Qualifications
- Strong clerical skills, including document management, record keeping, and accurate data entry.
- Excellent communication and customer service skills for interacting with trustees, healthcare professionals, industry partners, and volunteers.
- Experience with company secretarial work, including meeting administration, minute-taking, and maintaining governance records.
- Proven executive administrative assistance capabilities, such as diary management, meeting coordination, and preparing reports and presentations.
- Proficiency in standard office software (e.g., Microsoft Office or equivalent) and comfort with digital tools and databases.
- Strong organisational and time-management skills, with the ability to prioritise and meet deadlines in a busy environment.
- High attention to detail, confidentiality, and a professional, ethical approach to sensitive information.
- Experience in a healthcare, charity, or not-for-profit setting is an advantage.
- Relevant qualification or training in administration.
