  • 9:00am – 5:00pm

Role Summary

We have an exciting opportunity for a Clinic Coordinator to join our Operations team and support the continued growth of Medinet. Medinet provides insourced clinical services to the NHS, helping to reduce referral-to-treatment waiting times and improve patient outcomes.

Working as part of a multidisciplinary team, you will collaborate with leading clinical, operational, and commercial professionals, as well as senior stakeholders within the NHS. The Clinic Coordinator plays a key role in the planning, coordination, and delivery of clinical services, ensuring clinics are fully resourced and operationally supported.

You will act as a central point of contact between clinical teams, internal colleagues, and NHS stakeholders, supporting the mobilisation of new contracts, day-to-day clinic coordination, and ongoing contract delivery. This is a fast-paced and varied role requiring excellent organisation, communication, and prioritisation skills.

Key Responsibilities

Mobilisation of New Business

  • Support the Customer Account Manager to resource all new contracts ahead of launch and go-live.
  • Place appropriately skilled and customer-approved clinical staff into new contracts.
  • Compile and manage key documentation for customers, including clinician CVs.
  • Ensure clinical teams receive required training and IT access prior to service commencement.
  • Support ad hoc requests related to the mobilisation of new business.

Contract Resourcing

  • Ensure all contracts within your specialty are resourced in a timely manner (typically up to 12 weeks in advance).
  • Audit staffing models to ensure accuracy against service overview specifications.
  • Monitor and meet targets related to forward planning and placement.
  • Identify and escalate resourcing risks to the Head of Operations.

Clinic Administration

  • Provide support to Administrative Assistants during periods of absence or high demand.
  • Assist with clinic administration activities including reporting, clinic verification, results management, letters, and NHS email inbox management.

Contract Support

  • Maintain the highest standards of professional behaviour and appearance.
  • Support the Customer Account Manager with operational aspects of contract delivery, including resourcing, administration, and mobilisation.
  • Provide operational data, insights, and reporting to the Head of Operations and wider Operations team.
  • Work collaboratively with Customer Account Managers and Administrative Assistants to ensure contracts are delivered as agreed.
  • Proactively escalate operational risks and opportunities.

Stakeholder Management

  • Share key resourcing information with customers and Customer Account Managers, including confirmation of clinical teams.
  • Build strong working relationships with internal teams including Sales, Finance, and Operations.
  • Participate in an on-call rota supporting seven-day service delivery.
  • Support the Senior Leadership Team with preparation of proposals, renewals, bids, and tenders.
  • Contribute to bid management activities, from framework mini-competitions to full tender submissions.
  • Share insights and best practice to support continuous improvement and national market awareness.
  • Draft and proofread internal and external communications, ensuring accuracy, quality, and relevance.

Process and System Management

  • Ensure all internal systems are accurate and kept up to date.
  • Update pay systems in a timely manner to ensure clinical staff are paid correctly.
  • Adhere to internal processes and governance requirements.
  • Support the Head of Operations and Senior Clinic Coordinators with audits and operational reporting.
  • Use systems to track opportunities across other specialties and support cross-functional collaboration.

Essential Knowledge

  • NHS or healthcare background within a customer service or operational role.

Desirable Experience
